JOB PURPOSE
Responsible for planning and coordinating overnight city delivery operations while providing administrative and clerical support to the Dock Supervisor during the same shift. This dual-function role combines route planning, TMS data management, and dock documentation to support next-day operational readiness.
The Operations Specialist plays a critical role in ensuring efficient freight flow, accurate recordkeeping, and seamless communication between dispatch, dock, and driver teams across the overnight window.KEY
JOB FUNCTION
- Analyze and prioritize inbound freight volumes for next-day city delivery
- Plan and assign delivery routes for 55+ drivers based on geography, freight profile, time sensitivity,and capacity
- Load trips into TMS system and ensure routing aligns with operational KPIs
- Monitor exceptions and reassign freight as needed to meet delivery windows
- Flag late arrivals or high-priority loads requiring dispatch escalation and adjust plans in real-time
- Prepare morning dispatch documentation including driver trip manifests and routing instructions
- Provide clear shift handover updates to day dispatch and dock supervisors
- Perform driver check-in and check-out procedures, ensuring accurate recording of information andpaperwork
- Support the Dock Supervisor with completion and organization of all dock paperwork anddocumentation
- Update internal systems including TMS with shipment data; maintain route manifests, trip records,and OS&D and Dock Control Reports each shift
- Coordinate with shunting team regarding trailer movements and dock door assignments
- Act as liaison between dock floor operations and administrative teams to support communication andissue resolution
- Assist forklift operators by addressing questions and coordinating workflow as directed by the Dock
- Supervisor
- Participate in continuous improvement initiatives to optimize routing, documentation, and servicelevels
- Any other duties as assigned by Operations Management
- ORGANIZATION STRUCTUREReports directly to Operations Manager
- Internal interaction with City Dispatch, Dock Supervisors, Forklift Operators, Customer Service, US Planning, and Customs
- REQUIREMENTS
- 2+ years’ experience in LTL dispatch, routing, transportation planning, or a logistics administrative role
- Familiarity with the GTA/Southern Ontario delivery network and regional traffic patterns
- Experience using dispatch/TMS systems (e.g., Truck
- Mate); proficiency in Microsoft Office
- Strong understanding of LTL operations, trip planning, and cross-dock processes
- Strong organizational, documentation, and problem-solving skills with attention to detail
- Excellent communication skills and ability to work independently on an overnight shift in a fast-pacedenvironment
- This position plays a pivotal role in daily service execution, dock accuracy, and customer satisfaction.
