As our company continues to grow, we are seeking an exceptionally organized, proactive, and driven Executive Operations Manager to partner directly with our CEO.

This is a high-impact leadership role for someone who enjoys solving problems, building systems, driving accountability, and ensuring that great ideas become reality.

Position Overview

The Executive Operations Manager serves as the operational right hand to the CEO.

This role is responsible for driving execution across every department, coordinating major initiatives, keeping projects moving, improving communication, and ensuring company priorities remain on schedule.

Success in this role requires exceptional organizational ability, strong business judgment, outstanding communication skills, and the confidence to work with leaders across every area of the company.

This is not an administrative support position—it is an execution and operations leadership role.

Primary ResponsibilitiesExecutive Partnership

• Serve as the CEO's operational partner.
• Manage executive priorities and ensure critical initiatives remain on track.
• Prepare materials, reports, and recommendations for executive decision-making.
• Anticipate issues before they become problems.
• Help maximize the CEO's time by filtering, prioritizing, and coordinating company initiatives.

Business Operations

• Own the company's master project management system.
• Coordinate cross-functional initiatives across all departments.
• Track deadlines, milestones, and deliverables.
• Improve internal processes and operational efficiency.
• Develop scalable systems as the company grows.

Cross-Functional Leadership

Coordinate communication across

• Product Development
• Production & Manufacturing
• Marketing

Ensure projects move seamlessly between teams while identifying roadblocks and driving solutions.

Product Development & Production Support

Partner with Product Development to

• Track seasonal calendars
• Monitor sample timelines
• Follow up with suppliers
• Maintain production schedules
• Coordinate approvals
• Escalate potential delays before they impact deliveries

Project Management

Lead execution of company initiatives including

• Product launches
• Seasonal collection development
• Trade shows
• Major wholesale accounts
• Retail initiatives
• Operational improvements
• Strategic growth projects

KPI & Business Reporting

Develop and maintain dashboards that monitor

• Sales performance
• Inventory
• Production timelines
• Open action items
• Department goals
• Key operational metrics

Provide executive summaries with recommendations and next steps.

Meeting Leadership

• Organize weekly leadership meetings.
• Build agendas.
• Capture action items.
• Assign ownership.
• Follow up until completion.
• Hold departments accountable for commitments.

Process Improvement

Continually evaluate company operations and recommend improvements that increase efficiency, communication, accountability, and scalability.

QualificationsRequired

• Bachelor's degree preferred
• 5+ years of experience in operations, business management, project management, consulting, or a similar role
• Exceptional organizational and project management skills
• Outstanding written and verbal communication
• Strong analytical and problem-solving abilities
• High attention to detail
• Advanced Microsoft Excel and Google Workspace proficiency
• Ability to manage multiple complex projects simultaneously
• Comfortable working in a fast-paced entrepreneurial environment

Preferred

• Experience supporting a founder or executive team
• Experience in consumer products, retail, apparel, manufacturing, or ecommerce
• Familiarity with ERP systems, Shopify, project management software, and KPI reporting
• Experience improving operational systems within a growing business
