We are seeking an experienced HR Operations Manager to join our growing team. This is an on-site position based in Los Angeles, CA 90048 and is ideal for a highly organized, systems-oriented HR professional who thrives in a fast-paced environment and is passionate about building efficient HR operations while ensuring compliance with California employment laws.
The HR Operations Manager is responsible for overseeing the firm's HR operations, HRIS administration, payroll support, benefits administration, compliance, and employee records. This role partners closely with leadership to maintain efficient HR processes, ensure regulatory compliance, and support a seamless employee experience throughout the organization.
What You'll Do
- Administer and maintain the firm's HRIS and payroll platform (ADP), including employee records, system configuration, reporting, and payroll support
- Process new hires, employee status changes, compensation updates, and terminations while maintaining accurate employee records
- Serve as the primary point of contact with ADP support to troubleshoot system issues and implement system improvements
- Conduct regular audits of ADP, personnel files, and HR records to ensure data integrity and compliance with recordkeeping requirements
- Develop and maintain recurring audit schedules while documenting findings and corrective actions
- Administer employee benefits programs, including medical, dental, vision, life insurance, disability benefits, and annual open enrollment
- Manage the firm's 401(k) program, including enrollments, contribution changes, compliance testing, and vendor relationships
- Partner with insurance brokers and benefit carriers to resolve employee benefit issues and coordinate renewals
- Ensure compliance with California and federal employment laws, including wage and hour regulations, leave administration, paid sick leave requirements, and other employment regulations
- Administer employee leaves of absence, including FMLA, CFRA, Pregnancy Disability Leave (PDL), and Workers' Compensation
- Monitor changes to California employment laws and update company policies, procedures, and HR documentation accordingly
- Partner with the Accounting and Finance teams to support accurate and timely payroll processing
- Audit payroll information, including overtime, paid time off accruals, deductions, and employee classifications
- Support year-end HR processes, including W-2 preparation, ACA reporting, and retirement plan compliance
- Manage Workers' Compensation claims and unemployment claims through resolution
- Maintain employee personnel files, I-9 documentation, and required employment notices
- Draft, maintain, and update HR policies, procedures, and the employee handbook in partnership with leadership and legal counsel
- Manage compliance and administrative processes for global independent contractors, including agreements, onboarding, offboarding, renewals, and documentation audits
- Review worker classifications and ensure contractor engagements comply with applicable labor, tax, and privacy regulations
- Identify opportunities to improve, automate, and streamline HR operational processes
- Partner with the People & Culture Manager to deliver an exceptional employee experience while maintaining operational excellence
- Support HR audits, compliance reviews, and organizational initiatives as assigned
What We're Looking For
- Bachelor's degree in Human Resources, Business Administration, or a related field required
- Minimum of 4 years of progressive Human Resources Operations experience
- Previous law firm experience required
- Hands-on experience administering ADP or a comparable HRIS and payroll platform
- Strong knowledge of California employment laws, including wage and hour regulations, leave administration, benefits compliance, and employee recordkeeping
- Experience administering employee benefits, including medical, dental, vision, life insurance, disability benefits, and 401(k) retirement plans
- Experience managing Workers' Compensation and unemployment claims
- Strong analytical, organizational, and problem-solving skills
- Exceptional attention to detail with the ability to manage multiple priorities simultaneously
- Excellent written and verbal communication skills
- Ability to maintain confidentiality and handle highly sensitive information with professionalism
- Proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and Teams
- PHR, SHRM-CP, CEBS, or similar HR certification preferred
- Experience supporting global contractor administration is a plus
