We are looking to fill a Healthcare Operations Manager I position in our Central Equipment Services (CES) Department to work at our client location in Boston, MA. Schedule is Sunday-Thursday, 10:30pm-7:00am.
Job Summary
The Healthcare Operations Manager I - CES is responsible for overseeing daily operations of the Central Equipment Services Department (CES), ensuring compliance with industry standards, promoting efficient management practices, managing daily operations to deliver high-quality client and patient care while maintaining operational excellence. This is a "working Manager" role.
You role up your sleeves and work alongside the Team. This position offers an opportunity to contribute to the improvement of healthcare services in a dynamic environment.
General
Duties
- Team Coordination & Support
- Leads from the frontline on the field, working directly with the team while promoting teamwork/team building with a positive attitude.
- Coaches, mentors, and trains staff in the department.
- Assigns a trainer, verifies, and signs off on OJTs and new hire training documents, submitting them to HR for record retention.
- Handles day-to-day conversations, reassignments, and issues with the staff, ensures staff completes tasks safely, efficiently and within compliance.
- Keeps organizational culture in mind when making day-to-day decisions.
- Reporting
- Ensure the integrity and organization of SOPs, operational systems, workflows, departmental paperwork, inventory, workspaces, and devices.
- Generates comprehensive shift reports for Senior Leadership daily.
- Proactively communicates with leadership regarding potential staff and client issues before they escalate; seeks guidance on action steps.
- Main point of contact for all software issues or enhancements.
- Test and validate processes prior to rollout.
- Delegate as needed.
- Produces any operational reports as requested.
- Operations & Safety
- Maintain a mindset of constant improvement; proactively assess for opportunities to enhance operations and safety.
- Conducts operational and safety audits to ensure proper protocols are adhered to.
- Full accountability for all departmental assets, processes, performance, scheduling, workflow creation, trainings, timecards, outcomes, and KPIs.
- Build relationships with clinical leadership in the capacity of owning operations issues before escalation.
- Report up as needed.
- Departmental Specifics
- Dispatches orders while on shift, delegates as needed.
- Completes and manages requisite paperwork for rental and specialty equipment.
- Collaborate with HTM on inspection control and necessary repairs
- Ensures PAR Levels are adequately filled.
- Ensures equipment is not blocking egress or hallways, ensures safety for all of BCH.
- Assumes departmental phone/email responsibility while on shift.
- Communicates critical personnel issues to Senior Leadership for escalation to staffing vendor.
- Handles operational issues and proactively communicates with nursing staff.
- Communicates issues with vendors through appropriate channels.
- Conducts transition check-ins with management team at shift exchange.
- Proactively plans for operational constraints to ensure the best possible service levels.
- Identifies challenging units to have strategic conversations focused on the betterment of our operation.
- Leverages data to inform operational practices, coach staff, and identify areas for growth.
- Qualifications & Requirements
- Associate or bachelor’s degree preferred
- 1-3 years’ experience in Operations Management or Customer Service Management
- Flexibility in schedule is a must; our operations are 24/7/365 days a year
- Possess strong computer skills including Microsoft Office Suite
- Proficient in reading, writing, and verbally communicating in English
- Spanish and Portuguese speakers are a plus
- Ability to organize and prioritize tasks as administered
- Ability to move quickly throughout the facility
- Ability to stand for long periods of time
- Ability to frequently push, pull, carry, and/or lift a minimum of 50 lbs.
- Successfully pass a background check
- Provide vaccination records in a timely manner
- Possess a valid Driver's License and have dependable transportation
- Eligible to work in the US and provide required I9 documentation
