Salary: AED 2,500 – AED 3,300 per month, depending on experience

Job Description

We are looking for a responsible and well-organized Admin, HR & Front Desk Assistant to support our daily office operations, basic HR administration, employee records, attendance tracking, and front desk communication.

The ideal candidate should be detail-oriented, polite, reliable, and able to coordinate between management, employees, customers, suppliers, and different internal departments.

Key Responsibilities

Administration & Front Desk

• Answer phone calls, receive visitors, and handle general front desk communication professionally.
• Manage emails, messages, filing, printing, scanning, and document organization.
• Maintain company files, records, forms, and office documents in both physical and digital formats.
• Assist management with daily administrative tasks and internal coordination.
• Prepare simple reports, forms, notices, and documents as required.
• Coordinate office supplies, basic purchasing requests, and daily office needs.

HR Support

• Maintain employee records, including passport copies, visa copies, Emirates ID, insurance, labour documents, and other HR files.
• Track employee attendance, lateness, absences, leave forms, and related records.
• Assist in collecting and organizing leave applications, sick leave documents, and other HR-related forms.
• Keep track of employee document expiry dates and remind management in advance.
• Support onboarding and offboarding documentation for employees.
• Maintain confidentiality of all employee and company information.

Coordination

• Coordinate between sales, warehouse, accounts, and management when needed.
• Assist in following up internal tasks, staff requests, and document submissions.
• Help prepare and maintain customer, supplier, and employee databases.
• Support basic order, delivery, or invoice document filing when required.

Requirements

• Previous experience in admin, HR assistant, front desk, customer service, or office coordination.
• Good English communication skills, both written and spoken.
• Hindi, Urdu, Malayalam, Tagalog, or Arabic communication ability is an advantage.
• Good computer skills, especially Microsoft Excel, Word, Outlook, and basic reporting.
• Ability to handle confidential information with responsibility.
• Organized, punctual, polite, and willing to learn.
• Able to work independently and follow instructions from management.
• UAE experience is preferred.
• Experience in a trading company, construction materials, hardware, logistics, or warehouse-related business is an advantage.

Important Note
