HR Supervisor - Bilingual

Apogee Foods is looking for an HR Supervisor who will be responsible for maintaining personnel records and HR documents (employment records, onboarding guides, etc.), maintaining personnel access to the facility and updating internal databases.

EDUCATION & EXPERIENCE REQUIREMENTS

• Human Resources experience 3 yrs (Mandatory)
• Spanish – B1 (intermediate) minimum
• High School Diploma (Mandatory)
• Microsoft Outlook, Word, Teams experience 2 yrs (Mandatory)
• PHR or SPHR Certification (Preferred)

SPECIFIC JOB REQUIREMENTS

Record Keeping

• Maintain current copies of food safety certificates at front desk.
• Process inbound applications received in person and online.
• Update business continuity plan contacts annually.

o Update similar company policies as needed (handbook).

• Maintain phone extension list (also as part of business continuity plan).
• Maintain active and terminated employee HR and expense report files.
• Maintain annual OSHA 300 Log.
• Maintain archive of employee records (log and physically move files)

Recruiting & Retention

• Answer main office line, take messages and answer questions as needed.
• Perform initial screening of candidates for open positions (in-person or online).
• Send resumes to hiring managers and facilitate the scheduling of interviews (in-person or online).
• Process application, offer letter, e-verify and background check for hired candidates.
• Organize events for employee appreciation & holidays (catering, awards, etc.)
• Maintain the employee bulletin board to communicate information and employee appreciation updates.

On-Boarding & Terminations

• Set up email and phone access for new hires.
• Set up QA GMP meeting for new hires.
• Coordinate start dates and termination dates (recover company equipment in the employee’s possession).
• Prepare new hire packet and employee handbook for new hires.
• Give new hires a tour of the facility.
• Inactivate email access for terminated employees.
• Process employee termination requests.

Facility Access

• Secure front door (locked) at all times.
• Greet visitors and follow GMP protocols as needed (maintain visitor log, PPE, etc.).

o Have visitors sign NDAs or GMPs as required

• Greet new applicants and assist with the application process.
• Facilitate exchange of inbound and outbound mail and subsequent internal delivery to recipient.
• Create door codes for new employees and inactivate door codes for terminated employees.

o Coordinate & troubleshoot repair of door keypad with Johnson Controls.

• Maintain locker and smock racks assignments for all employees.
• Coordinate & troubleshoot repair of printer with Leaf and add names of new hires to the scanner.

Payroll & Benefits

• Maintain active & terminated employee status in Paycom.

o Process new hires’ onboarding

o Process terminations and email termination emails (must be filed afterwards)

o Maintain organizational chart

• Create a timeclock code for hourly employees.

o Coordinate & troubleshoot repair of timeclock with Paycom.

• Set up new hires in Paycom ( reporting supervisors, PTO, benefits, etc.) and verify direct deposit information entered by employee.
• Weekly reminder email for supervisors to approve timecards and verify all timecards are approved before payroll is run by Controller.
• Update benefits coordinator with information for new hires and terminated employees.
• Mail W-2s in Q1 of each new year.
• Maintain labor posters as required by law in mandatory locations.
• Maintain employee paper and electronic files.

SKILLS

• Maintain organized and clean office environment.
• Proven ability to use Microsoft Excel and speak Spanish
• Prove ability to handle private information discreetly.
• Strong written, oral, and interpersonal communication skills.

ELIGIBILITY REQUIREMENTS

• Employment/Certifications will be verified.
• Applicant must be currently authorized to work in the United States on a full-time basis.
• Must be willing to work on-site from office in Dallas, TX. No relocation will be offered.
• Must be willing to provide information and pass background check and consumer reports.
