Finance & Operations Manager

Position Summary

The Finance & Operations Manager is responsible for leading the financial management and daily operations of the medical practice. This individual serves as a strategic business partner to the Practice Owner by overseeing the organization's financial performance while ensuring efficient operational workflows across the practice.

Reporting directly to the Practice Owner, the Finance & Operations Manager is responsible for all aspects of financial reporting, budgeting, forecasting, payroll oversight, operational performance, and business analytics. This position provides timely financial insight and recommendations that support strategic decision-making while also managing the day-to-day administrative operations of the practice.

The ideal candidate possesses extensive healthcare management experience combined with a strong background in accounting, finance, payroll, and operational leadership. This individual should be highly analytical, detail-oriented, and comfortable working independently while managing multiple priorities in a fast-paced medical environment.

Required Qualifications

• Minimum of seven (7) years of experience in healthcare operations, medical practice management, healthcare finance, accounting, or business administration.
• Minimum of three (3) years of management or supervisory experience.
• Extensive experience with QuickBooks, including:
• General ledger management
• Financial reporting
• Budget preparation
• Forecasting
• Bank and account reconciliations
• Accounts payable and receivable
• Experience processing and overseeing payroll and payroll reporting.
• Experience preparing and presenting monthly, quarterly, and annual financial reports to executive leadership.
• Strong knowledge of budgeting, cash flow management, financial analysis, and operational performance metrics.
• Strong understanding of medical billing, insurance reimbursement, and revenue cycle management.
• Excellent analytical, organizational, problem-solving, and leadership skills.
• Ability to manage multiple priorities while maintaining strict confidentiality.
• Excellent written and verbal communication skills.

Preferred Qualifications

• Bachelor's degree in Business Administration, Finance, Accounting, Healthcare Administration, or related field.
• Master's degree (MBA, MHA, MS Finance, or related field) strongly preferred.
• Experience managing a multi-provider medical practice.
• Knowledge of eClinicalWorks (eCW) EMR and practice management system is a plus.
• Experience working with outsourced accounting, payroll, billing, and revenue cycle vendors.
• Knowledge of healthcare compliance, credentialing, and payer contracting.

Key ResponsibilitiesFinancial Management

• Prepare and present monthly, quarterly, and annual financial statements.
• Analyze revenue, expenses, profitability, and cash flow.
• Develop annual operating budgets and financial forecasts.
• Prepare financial projections and business analyses for ownership.
• Monitor key financial performance indicators (KPIs).
• Identify trends and recommend strategies to improve profitability and operational efficiency.
• Oversee payroll processing and payroll reporting.
• Manage QuickBooks and ensure accurate financial records.
• Coordinate with external accountants, payroll providers, and financial vendors.
• Review and approve accounts payable.
• Monitor vendor contracts and operational expenses.
• Assist ownership with strategic financial planning and business growth initiatives.

Revenue Cycle Management

• Monitor billing performance and reimbursement trends.
• Review accounts receivable, denials, collections, and aging reports.
• Work closely with billing vendors to maximize collections.
• Monitor provider productivity and financial performance.
• Develop and implement revenue cycle improvement initiatives.

Practice Operations

• Oversee all daily business operations.
• Supervise administrative staff and office managers.
• Ensure efficient patient flow and scheduling processes.
• Develop operational policies and standard operating procedures.
• Monitor operational performance and identify process improvements.
• Manage vendor relationships and office resources.
• Support provider onboarding and operational training.

Leadership & Team Development

• Supervise administrative and operational staff.
• Conduct performance evaluations and provide coaching.
• Assist with recruiting, hiring, onboarding, and employee development.
• Foster a culture of accountability, professionalism, teamwork, and continuous improvement.
• Ensure compliance with all practice policies and procedures.

Compensation & BenefitsSalary

Starting salary: $100,000 annually, with higher compensation available based on experience, qualifications, and demonstrated expertise.
