The Accounts Payable Supervisor is responsible for overseeing the hotel's accounts payable function, ensuring that all supplier invoices, payments, and expense claims are processed accurately, efficiently, and in accordance with company policies.

The role ensures timely payments, maintains strong vendor relationships, supports month-end closing activities, and supervises the Accounts Payable team.Key ResponsibilitiesAccounts Payable Operations

• Supervise the day-to-day accounts payable activities.
• Review and verify supplier invoices for accuracy and proper authorization.
• Ensure all invoices are matched with purchase orders and receiving documents.
• Process supplier payments accurately and within agreed payment terms.
• Maintain accurate vendor records and account reconciliations.
• Resolve invoice discrepancies and payment issues with vendors and internal departments.
• Monitor outstanding payables and prepare weekly payment schedules.

Financial Controls & Compliance

• Ensure compliance with company financial policies and internal controls.
• Verify supporting documentation before processing payments.
• Maintain proper filing of invoices, payment records, and financial documents.
• Assist with internal and external audits by providing required documentation.
• Ensure compliance with local tax regulations, including VAT requirements where applicable.

Month-End & Reporting

• Prepare accounts payable reconciliations.
• Assist in month-end and year-end closing activities.
• Reconcile supplier statements and resolve outstanding balances.
• Prepare reports on outstanding liabilities, aging analysis, and payment status.
• Support the Financial Controller with financial reporting and analysis.

Vendor Management

• Build and maintain positive relationships with suppliers.
• Respond to vendor inquiries regarding invoices and payments.
• Negotiate payment schedules when required in coordination with management.

Team Leadership

• Supervise, train, and support Accounts Payable staff.
• Allocate daily tasks and monitor team performance.
• Ensure deadlines are consistently achieved.
• Promote accuracy, efficiency, and continuous improvement within the team.
• Maintain confidentiality of financial information.
• Support finance projects and process improvement initiatives.
• Perform any other duties assigned by the Financial Controller or hotel management.
• Demonstrate IHG service behaviors and luxury hospitality standards at all times.
• Maintain professional grooming and appearance in accordance with hotel standards.
• Participate in training sessions, wellness workshops, and departmental meetings.
• Work collaboratively with the spa and hotel team to achieve departmental goals and guest satisfaction targets.
• Promote the hotel’s sustainability and wellness initiatives wherever possible.

Required Qualifications

• Bachelor's degree in Accounting, Finance, or a related field.
• Professional accounting qualification is an advantage.
• Minimum 3–5 years of accounts payable or finance experience in the hospitality industry.
• At least 1 year of supervisory experience preferred.

Experience with hotel accounting systems (such as Opera PMS, SunSystems, or similar ERP systems) is an advantage.
