This is one of the most important roles our client is hiring for.

They're the world's fastest-growing vendor-neutral AI events company - 500 engineers at their first summit, 7,000+ at their Global Fair this year, and the sponsorship business is scaling right alongside it.

This is the person who makes sure no sponsor relationship ever stalls on paperwork, a missed follow-up, or a signature sitting in an inbox.

You work alongside the Account Manager, who owns the relationship. You own the machine that keeps it all moving.

You are NOT a task-taker waiting to be told what to do. You're the owner of the system.

When someone asks "where are we with sponsorships?" the answer already exists, it's correct, and nobody has to double-check it.

You're the reason deals move fast and nothing falls through the cracks between "deal closed" and "sponsor fully onboarded and paid."

What you'll do

Own HubSpot so it reflects reality - clean pipeline, accurate stages, every inbound logged, no mystery deals, no stale data
Run the full contract engine end to end - draft the deliverables, generate the agreement, chase the signature through DocuSign, confirm it's invoiced, track it to full payment
Be first point of contact on inbound - right prospectus within 24 hours, flag the Nvidias and Fortune 500s straight to the Account Manager
Build the dashboards, templates and automations that let this scale from 140 sponsors to whatever comes next - one-click reports the whole team can actually read

To be clear: this is intense. A fast-moving startup, four flagship shows a year and growing, a founder who might decide he wants puppies on the show floor next week (real example). Priorities shift daily and there's no playbook - you build it. If you want calm and predictable, this isn't it.

But if you're the right person, it's rare. You'll see every deal move from inquiry to payment, you'll shape the systems as the business scales, and you'll be first in line for revenue operations leadership as the sales function grows. People who execute well here don't stay in the same seat for long.

What you need to bring

4+ years in sales operations, deal desk, contract administration, or revenue operations
You've OWNED CRM data quality (HubSpot or similar) - not just entered records, but been the reason the pipeline can be trusted
Contract lifecycle and e-signature workflows in your bones (DocuSign or similar)
Obsessive accuracy - errors in a contract are errors in front of a sponsor. There's one true answer, and you find it
Sound judgment on when to execute, when to verify, and when to escalate

Nice to have

You use AI tools daily and use them ACCURATELY - you automate the boring parts without ever shipping a data dump
Event, conference, or sponsorship experience - you get how fast things change
Exposure to invoicing/AP and working alongside legal on contract execution

The details

Remote (US) · East Coast hours · some in-person delivery at our events (sponsors will know you by name)
Salary - Between $80k - $100k + equity + profit share + insurance etc. :)
