Receptionist - Emiratisation

Job Summary

We are seeking a professional and customer-focused Receptionist to serve as the first point of contact for clients, visitors, and guests. The role is responsible for managing front desk operations, providing administrative support, coordinating office activities, and ensuring a welcoming and organized office environment while maintaining the highest standards of professionalism and confidentiality.

Work Location: DIP 1, DubaiWorking Days: Monday to FridayWorking Hours: 7:00 AM – 4:00 PM

Qualifications

• High School Diploma or equivalent; a Diploma in Office Administration or Customer Service is preferred.2–4 years of experience in a receptionist or front desk role, preferably within the UAE.Proficiency in Microsoft Office applications, including Word, Excel, and Outlook, with familiarity using multi-line telephone systems and administrative tools.
• Excellent communication, interpersonal, and organizational skills with the ability to multitask and deliver outstanding customer service.
• Fluency in English (spoken and written); knowledge of Arabic, Hindi, Tagalog, or other languages is an advantage.

Roles & Responsibilities

• Welcome and assist visitors, clients, and guests, ensuring a positive first impression while managing front desk operations and notifying employees of guest arrivals.
• Handle incoming calls, emails, and general inquiries professionally, directing them to the appropriate departments when required.
• Coordinate meeting room bookings, prepare meeting spaces, support business meetings, and arrange appointments and business lunches.
• Provide administrative support, including handling mail and courier services, filing, scanning, data entry, maintaining records, and assisting with documentation.
• Support senior management with travel arrangements, meeting coordination, preparation of meeting minutes, and administrative tasks, while assisting with employee engagement activities and events.
• Monitor office and pantry supplies, coordinate replenishment with vendors, and ensure the reception area and common spaces remain organized and presentable.
• Maintain confidentiality of company information, adhere to company policies and safety procedures, and ensure compliance with internal administrative standards.
