Position Summary

National Patrol Services is seeking a highly organized, dependable, and motivated Administrative & Operations Manager to support the President & CEO in the daily operations of our growing security company.

This position is ideal for someone who enjoys working in a fast-paced environment and can successfully balance office administration, scheduling, recruiting, client communication, and operational support. The successful candidate will become the central point of coordination for our office while helping ensure our officers and clients receive outstanding service.

Essential Duties & Responsibilities

Administrative

-Answer incoming phone calls and company emails.

• Greet applicants, employees, and visitors.
• Maintain confidential personnel and client files.
• Prepare letters, reports, and company correspondence.
• Manage office supplies, uniforms, and equipment orders.
• Maintain organized digital and paper filing systems.

Operations

• Create and maintain employee schedules.
• Coordinate officer assignments and shift coverage.
• Respond to employee call-offs and staffing needs.
• Communicate with field supervisors and security officers.
• Assist with dispatch and daily operational activities.
• Maintain accurate staffing records.

Human Resources

• Post job openings and screen applicants.
• Schedule interviews.
• Process new hire paperwork.
• Coordinate employee onboarding and orientation.
• Track licenses, certifications, and training requirements.
• Maintain employee personnel records.

Client Relations

• Respond to client requests and inquiries.
• Schedule meetings for management.
• Assist with contract administration.
• Maintain excellent customer service.
• Help resolve routine client concerns.

Finance Support

• Prepare client invoices.
• Assist with payroll processing.
• Track employee timesheets.
• Maintain billing records.
• Support accounts receivable activities.

Compliance

• Monitor employee licensing and certification expiration dates.
• Maintain compliance documentation.
• Assist with audits and regulatory requirements.
• Ensure personnel files remain complete and current.

Qualifications Required

• High school diploma or GED.
• Minimum of two years of administrative or office experience.
• Strong communication and customer service skills.
• Excellent organizational and multitasking abilities.
• Proficiency with Microsoft Office (Word, Excel, Outlook).
• Ability to work independently with minimal supervision.
• Professional appearance and demeanor.

Preferred

• Experience in the security industry.
• Dispatch or scheduling experience.
• Human resources or recruiting experience.
• QuickBooks experience.
• Experience with scheduling or workforce management software.

Schedule

• Monday–Friday
• 25–30 hours per week
• Flexible daytime schedule
