Document Controller – Accounts

About the Role

ATAD, a Sharjah-based HVAC contracting company, is looking for a detail-oriented Document Controller – Accounts to manage day-to-day financial documentation and data entry in Zoho Books. This is not a general accounting or bookkeeping position. This role is focused entirely on accurate, timely document processing and data entry to support that function.

The ideal candidate is organized, comfortable working in cloud-based software, and reliable with repetitive, detail-heavy tasks.

Key Responsibilities

• Supplier Invoice Entry: Record supplier/vendor invoices in Zoho Books accurately and on time, following pre-defined vendor and expense categories. Upload and attach copies of tax invoices to each entry.
• Payment Allocation: Match and allocate incoming and outgoing payments (including post-dated cheques) against the correct open invoices in Zoho Books, following the company's defined allocation process.
• Customer Statements of Account: Generate and prepare statements of account for customers directly from Zoho Books records, ensuring figures are accurate and up to date before sharing.
• Purchase Orders: Prepare purchase orders based on approved supplier quotations, ensuring correct pricing, quantities, and terms are transcribed accurately.
• Maintain organized digital records of all invoices, POs, and supporting documents.
• Flag any discrepancies, missing documents, or unclear entries to management rather than making assumptions.

What This Role Is NOT

• This is not a bookkeeping or accounting role — no journal entries, reconciliations, tax filings, or financial statement preparation are required.
• No accounting judgment calls (classification, accruals, adjustments) are expected. Clear guidelines will be provided for recurring entries; anything outside those guidelines should be escalated.

Requirements

• Prior experience with Zoho Books strongly preferred but not mandatory (or solid experience with a similar cloud accounting/ERP platform such as Tally, QuickBooks, or SAP B1).
• Strong attention to detail and comfort with repetitive data entry.
• Good working knowledge of Excel.
• Organized, able to manage documents systematically (naming, filing, version control).
• Prior experience in a document controller, admin, or accounts support role — construction/MEP/contracting industry experience is a plus but not required.
• Good written English for communicating with suppliers and customers.
