Executive Assistant – HR & Administration

Position Summary

The Executive Assistant – HR & Administration is responsible for providing high-level executive support to the Managing Director while overseeing the day-to-day administrative and human resources functions of the business.

Working closely with the Managing Director and department heads, this role ensures efficient office operations, effective HR administration, and seamless coordination of business activities. The successful candidate will be highly organised, proactive, and capable of managing confidential information while supporting the company's operational and people objectives.

Key Responsibilities

Executive Support

• Provide direct administrative support to the Managing Director.
• Manage calendars, meetings, appointments, travel arrangements, and business schedules.
• Prepare reports, presentations, correspondence, and business documents.
• Coordinate meetings, prepare agendas, and record meeting minutes where required.
• Screen calls, emails, and correspondence, ensuring timely follow-up.
• Track action items and deadlines to ensure completion.
• Liaise with internal departments and external stakeholders on behalf of the Managing Director.
• Maintain confidentiality of sensitive company and employee information.

Human Resources

• Coordinate recruitment activities including job postings, interview scheduling, and candidate communication.
• Prepare employment contracts, offer letters, probation confirmations, warning letters, experience certificates, and other HR documentation.
• Maintain accurate employee records and HR files.
• Monitor attendance, leave records, and employee documentation.
• Coordinate onboarding and offboarding processes.
• Assist in implementing HR policies, procedures, and employee initiatives.
• Support employee engagement activities and internal communications.
• Ensure compliance with Bahrain Labour Law and company policies.
• Coordinate with government entities regarding employment-related documentation when required.

Administration

• Oversee the day-to-day administrative operations of the office.
• Manage office supplies, stationery, and administrative purchasing.
• Coordinate maintenance, utilities, service providers, and office facilities.
• Organise company records and maintain proper filing systems.
• Assist in coordinating company meetings, events, and internal activities.
• Support operational projects assigned by the Managing Director.
• Continuously improve administrative processes and workflows to enhance efficiency.

Qualifications & Experience

• Bahraini National ONLY, Must be registered in MLSD program (NEP)
• Bachelor's degree in Business Administration, Human Resources, or a related field.
• 3–5 years of experience in Executive Assistant, HR, Administration, or Office Management roles.
• Strong organisational and time management skills.
• Excellent written and verbal communication skills in English (Arabic is an advantage).
• Proficiency in Microsoft Office and Google Workspace.
• Ability to handle confidential information with discretion.
• Strong problem-solving skills with the ability to work independently and manage multiple priorities.
