The Amex Digital Labs team drives innovation by originating, incubating, and managing products and platforms essential to our customers’ digital lives. In this role, you will provide day-to-day administrative support for the VP, Emerging Platforms and an additional VP, managing diverse tasks including calendar management, travel and expense coordination, meeting logistics, and ad hoc assignments.

This New York–based role requires in‑office presence at least 3 days per week.

Schedule: In‑office at least 3 days per week

Salary: $31.49 to $49.28 hourly + bonus + benefits

Key Responsibilities

• Oversee daily, weekly, and monthly calendar management, ensuring multiple VP calendars are organized and updated proactively.
• Review calendars independently to identify and resolve potential conflicts in upcoming weeks.
• Handle general follow-ups and send reminders to support timely completion of deadlines and commitments.
• Coordinate logistics for meetings, both in-person and via Webex.
• Collaborate with other administrative assistants on office operations.
• Partner closely with Executive Office to maintain headcount reports, organizational charts, and team distribution lists.
• Arrange travel, including flights, hotels, car transfers, and meeting itineraries.
• Prepare and process expense reports and invoices promptly; review expenses submitted for approval and flag any out-of-policy spending while tracking invoice payment status.
• Organize internal and external business meetings, such as Town Halls, including sending invitations, booking rooms, and arranging catering as needed.
• Play an active role in organizing and executing team activities to strengthen and sustain team culture.
• Perform other ad hoc administrative tasks as required.

Required Qualifications

• Previous executive administrative support experience within a start-up or large organization.
• Self-motivated, proactive team player who is solutions-oriented and reliable.
• Exceptional organizational, administrative, and interpersonal skills.
• Keen attention to detail and a sense of urgency in execution and follow-up.
• Ability to prioritize multiple tasks and work autonomously with minimal guidance.
• Strong integrity with the ability to handle confidential/sensitive information with discretion.
• Strong written and verbal communication skills.
• Proficiency in Microsoft Outlook and Office, including Word, PowerPoint, and Excel.

Preferred Qualifications

• Knowledge of Microsoft Copilot, Airtable, and ChatGPT is a plus.
