Logistics Coordinator / Office Administrator

Position: Office / Logistics Assistant

Location: Glendale, NY (Queens)

Company/Industry: Well-established trade show company

Schedule: On-site, Mon-Fri 9am-5pm

Salary: Open and competitive, depending on experience, with flexibility for the right candidate

Responsibilities

• Coordinate travel arrangements for staff and trade show teams (flights, hotels, schedules).
• Assist with logistics planning for trade show production, shipping, and on?site needs.
• Communicate with customers, vendors, and partners by phone and email — must sound polished, confident, and professional.
• Track deadlines, follow up on tasks, and ensure all moving parts stay on schedule.
• Prepare documents, schedules, and event materials for upcoming shows.
• Support the operations team with administrative tasks, data entry, and organization.
• Maintain a structured, efficient office environment and help streamline processes.
• Occasionally attend trade shows (1–2 times per year), including:
• Annual 4?day Las Vegas trade show
• Events at the Javits Center in NYC

Qualifications

• Strong communication skills — clear, confident, and comfortable on the phone.
• Organized, assertive, proactive, and able to take direction directly and efficiently.
• Prior experience in logistics, office administration, event coordination, or customer service is a plus.
• Ability to multitask and manage time in a fast?moving environment.
• Proficiency with basic computer skills (email, scheduling, spreadsheets).

Compensation / Pay Rate (Up to): $55,000.00 - $65,000.00
