The position requires strong technical judgment, project management capability, cross-functional communication, and the ability to improve tax processes, controls, and documentation standards in a fast-paced retail environment.
Essential Functions and Responsibilities
- Manage and review sales and use tax compliance for retail stores and e-commerce operations across applicable state and local jurisdictions, ensuring timely and accurate filings and payments.
- Review reconciliations of POS sales, exempt sales, returns, discounts, gift card activity, payment settlements, bank deposits, and general ledger balances to tax return workpapers.
- Oversee preparation and maintenance of sales and use tax return support, journal entries, account reconciliations, exemption certificates, audit-ready documentation, and internal control evidence.
- Monitor nexus, registrations, permits, resale certificates, business licenses, and filing obligations for new store openings, relocations, closures, marketplace activity, and expansion into new jurisdictions.
- Lead taxability analysis for retail products and transactions, including product tax codes, shipping charges, discounts, coupons, loyalty programs, samples, promotional items, and consumer use tax considerations.
- Manage responses to sales and use tax audits, notices, refund claims, voluntary disclosure projects, and correspondence with taxing authorities, including coordination of supporting schedules and documentation.
- Coordinate with external service providers and review corporate income tax compliance deliverables, including federal and state income tax workpapers, estimated tax payments, apportionment, book-to-tax adjustments, tax depreciation, and related account reconciliations.
- Review and support quarterly and annual US GAAP/IFRS tax provision prepared with external advisors, including current/deferred tax, effective tax rate, uncertain tax positions, and provision-to-return true-up analysis.
- Partner with accounting, treasury, store operations, IT/POS, e-commerce, external advisors, and tax technology providers to improve tax processes, data quality, controls, and filing efficiency.
- Identify process improvement opportunities, develop tax compliance calendars and review checklists, and support automation initiatives for retail tax reporting and reconciliation workflows.
- Provide guidance and review support to junior tax/accounting staff, including workpaper review, issue escalation, documentation standards, and deadline management.
- Perform other tax compliance, accounting, reporting, and special projects as assigned.
Competencies
- Strong working knowledge of multi-state sales and use tax rules, retail taxability, nexus, exemption certificates, audit documentation, and compliance processes.
- Ability to review complex reconciliations and identify exceptions across POS, ERP, payment processor, bank, and general ledger data.
- Strong understanding of corporate income tax compliance and tax accounting concepts, including book-to-tax adjustments, apportionment, current/deferred tax, and provision-to-return true-up.
- Excellent project management, scheduling, and organizational skills with the ability to manage multiple filing calendars, audits, and cross-functional priorities.
- Strong analytical, problem-solving, and documentation skills with attention to accuracy, controls, and audit readiness.
- Effective communication skills with the ability to explain tax requirements to accounting, operations, IT, external advisors, and non-tax stakeholders.
- Proactive mindset toward tax law updates, process improvement, tax technology, and scalable retail compliance operations.
