Accounting Administrative Assistant

Responsibilities of the Accounting Administrative Assistant

Accounting & Administrative Support

• Mail Accounts Payable, Payroll, and other checks with supporting documentation
• File accounting records, including Accounts Payable, Journal Entries, and Payroll documents
• Open and record lockbox batch information
• Process electronic check deposits
• Copy, scan, and fax documents as needed
• Assist with document gathering for audits
• Support year-end file organization, boxing, and records retention activities
• Assist with various accounting-related projects and administrative tasks as assigned

Mail & Office Operations

• Open, sort, and distribute incoming accounting mail
• Manage outgoing accounting mail, including trips to the mail drop and post office
• Check and retrieve mail from the organization's post office box
• Monitor and route messages from the accounting department voicemail box
• Order office supplies and maintain inventory
• Issue purchase orders as needed
• Receive and distribute office deliveries

Requirements of the Accounting Administrative Assistant

• Previous administrative, office support, accounting assistant, or bookkeeping experience preferred
• Strong organizational skills and attention to detail
• Ability to manage routine tasks accurately and consistently
• Comfortable handling confidential information
• Proficiency with Microsoft Office, particularly Outlook, Word, and Excel
• Reliable, dependable, and able to work independently
