About the role

The Receptionist will be the first point of contact for Zutari’s Dubai office, creating a professional, welcoming, and efficient front-of-house experience for clients, visitors, and employees. This role plays an important part in ensuring the smooth day-to-day running of the office, supporting administrative coordination, facilities-related activities, and visitor engagement.

Key Responsibilities

• Welcome visitors, clients, and employees in a professional and friendly manner, ensuring an excellent front-desk experience.
• Answer, screen, and redirect incoming calls promptly and professionally, taking accurate messages where required.
• Monitor the arrival and departure of all visitors, clients, and employees at reception.
• Manage visitor sign-in processes and coordinate access to meeting rooms and office spaces.
• Escort or direct visitors to the relevant meeting rooms or office areas as required.
• Maintain a neat, organised, and professional reception and front-of-house environment at all times.
• Coordinate the housekeeping and presentation of reception, meeting rooms, and conference spaces.
• Support meeting room bookings and ensure rooms are prepared for internal and external meetings.
• Assist with courier coordination, deliveries, and general front-desk correspondence.
• Assist in dispatching and signing in fleet vehicles where required.
• Provide day-to-day office administration support and assist with general office management activities.
• Support the planning and coordination of client-facing or executive events hosted by Zutari when required.
• Collaborate with corporate support teams to ensure a seamless and positive experience for all visitors and staff.
• Assist the Facilities Manager with general administrative tasks as needed.’

Minimum Requirements

• This opportunity is open to UAE Nationals (Emirati) only.
• Minimum of 2 years’ experience in a receptionist, front desk, office support, or administrative role.
• Experience in a professional office or corporate environment would be advantageous.
• Strong administrative and organisational skills.
• Ability to produce accurate, high-quality work with excellent attention to detail.
• Willingness to learn and take initiative.
• Ability to work under pressure and manage multiple priorities effectively.
• Good time management and coordination skills.
• Strong interpersonal skills and ability to collaborate with a wide range of stakeholders.
• Proficiency in Microsoft Office applications such as Outlook, Word, and Excel.
• Strong verbal and written communication skills in English;
• Arabic would be advantageous.
