Administrative Assistant and Accounts Payable Coordinator

The Opportunity

This is a unique opportunity for an experienced administrative professional who is interested in expanding into accounts payable and property operations support.

You'll serve as the primary front-office presence for our Dallas headquarters while gradually taking ownership of accounts payable processes. This role is ideal for someone who enjoys being the go-to person in the office, thrives in a fast-paced environment, and is excited to learn new systems and responsibilities.

Over time, accounts payable responsibilities will become a significant portion of the role, with training and support provided by our experienced accounting and property management teams.

What You'll Do

Administrative & Office Operations

• Serve as the primary point of contact for guests, vendors, deliveries, and incoming calls
• Maintain a professional and welcoming office environment
• Coordinate office supplies, mail, packages, and general administrative needs
• Support executives and leadership team members with scheduling, correspondence, and special projects
• Assist with presentations, reports, and other business documents using Microsoft Office

Accounts Payable & Accounting Support

• Process and track vendor invoices
• Assist with accounts payable workflows and payment processing
• Monitor invoice approvals and payment timelines
• Help maintain accurate vendor and financial records
• Work closely with accounting and property management teams to support payment processing and reporting
• Learn and utilize Yardi Breeze, Yardi Voyager, and AvidXchange systems

What Success Looks Like

Within your first several months, you'll

• Become the reliable front-office hub for our team
• Build confidence using our property management and accounting systems
• Successfully support invoice processing and accounts payable workflows
• Demonstrate strong organization, accuracy, and follow-through
• Increase ownership of the accounts payable function while maintaining excellent administrative support

What We're Looking For

Required Qualifications

• 3+ years of administrative, office coordination, executive support, or related experience
• Strong proficiency with Microsoft Office, including Outlook, Word, Excel, and Teams
• Professional communication and interpersonal skills
• Strong organizational skills and attention to detail
• Ability to prioritize multiple responsibilities in a dynamic environment
• Comfort working onsite in a collaborative office setting

Preferred Qualifications

• Accounts payable, bookkeeping, or accounting support experience
• Property management, commercial real estate, or real estate operations experience
• Experience with Yardi, Yardi Voyager, Yardi Breeze, AvidXchange, or similar accounting/property management software
• Experience supporting leadership teams or multiple departments
