Administrative Assistant / Front Desk

Overview

We are seeking an Administrative Assistant / Front Desk professional to join our team! This vital role offers an exciting opportunity to be the first point of contact for visitors and callers, ensuring smooth daily operations across the office. You will play a key part in maintaining an efficient, welcoming environment while supporting various administrative functions.

Primary Duties

• Answer phone calls and respond to family inquiries
• Greet visitors and assist with enrollment questions
• Track student enrollment interest and conduct follow-up calls
• Support the School Leader with student files and school opening paperwork
• Assist with scheduling tours, meetings, and interviews
• Maintain basic office organization and communication logs

Other Duties

• Manage appointment scheduling and calendar coordination using Microsoft Office and Google Workspace tools
• Perform data entry, maintain filing systems, and update records with high accuracy and attention to detail
• Handle clerical tasks such as proofreading documents, managing correspondence, and preparing reports
• Support bookkeeping activities using QuickBooks and assist with basic office management tasks
• Assist with customer support inquiries, providing friendly service and resolving issues efficiently

Skills

• Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
• Experience with multi-line phone systems and excellent phone etiquette skills
• Bilingual abilities are highly desirable to serve diverse client needs effectively
• Demonstrated organizational skills with the ability to prioritize tasks and manage time efficiently
• Knowledge of office management procedures, filing systems, and clerical best practices
• Basic bookkeeping skills using QuickBooks or similar software preferred
• Excellent typing speed and data entry accuracy for efficient workflow management
• Proven customer service experience with a friendly, professional demeanor
• Strong organizational skills complemented by attention to detail in proofreading and document preparation
• Personal assistant or calendar management experience is a plus to coordinate schedules seamlessly

Starting Wage: $17.00 per hour during the summer

Potential Full-Time Salary: $35,000 annually
