Job Purpose
The Finance Executive is responsible for managing the financial operations of the community management portfolio, ensuring accurate billing, collections, accounts payable, budgeting support, financial reporting, and compliance with applicable regulations.
Key Responsibilities
- Financial Operations
- Prepare and issue service charge invoices, utility invoices, and other community-related charges.
- Monitor billing accuracy and resolve invoice discrepancies.
- Process receipts and allocate collections against owners' accounts.
- Maintain accurate financial records for each project and managed community.
- Reconcile bank accounts and financial transactions regularly.
- Accounts Receivable
- Monitor outstanding service fees and utility payments.
- Prepare aging reports and collection reports.
- Follow up with owners regarding overdue balances.
- Coordinate with the Community Management team regarding payment plans and collection strategies.
- Support legal collections by preparing financial statements and supporting documentation.
- Accounts Payable
- Verify supplier invoices against approved purchase orders and contracts.
- Process vendor payments in accordance with approved payment terms.
- Maintain supplier ledgers and resolve payment queries.
- Ensure all invoices are properly authorized before processing.
- Budgeting & Financial Reporting
- Assist in preparing annual service charge budgets.
- Support the preparation of reserve fund budgets.
- Monitor actual expenditure against approved budgets.
- Prepare monthly financial reports and variance analysis.
- Assist with year-end financial statements and external audits.
- Community Financial Administration
- Maintain Owners Association financial records.
- Assist in preparing financial reports for Board Meetings and General Assemblies.
- Ensure proper allocation of expenses to the relevant cost centers.
- Maintain reserve fund accounting separately from operational expenses.
- Compliance
- Ensure compliance with UAE VAT regulations.
- Maintain documentation required for statutory audits.
- Ensure compliance with all governance requirements and company financial policies.
- Maintain confidentiality of financial information.
- Coordination
- Coordinate with Community Managers regarding owner account matters.
- Liaise with banks, auditors, suppliers, and utility providers.
- Support external auditors during financial audits.
- Key Performance Indicators (KPIs)
- Accuracy of billing.
- Timeliness of invoice processing.
- Collection rate of service charges.
- Reduction in outstanding receivables.
- Timely vendor payments.
- Accuracy of monthly financial reports.
- Budget variance within acceptable limits.
- Audit findings and compliance.
- Bachelor's Degree in Finance, Accounting, Commerce, or a related field.
- Professional certifications such as ACCA, CMA, CPA, or equivalent are advantageous.3–5 years of finance or accounting experience.
- Experience in Community Management, Property Management, Facilities Management, or Real Estate is preferred.
- Experience with Owners Association accounting and service charge management is an advantage.
- Knowledge of ERP/accounting systems (e.g., Microsoft Dynamics, Oracle, SAP, RP Smart, or similar) is desirable.
