Engineering Administrator & Sustainability Coordinator

The Engineering Administrator / Sustainability Coordinator is responsible for providing administrative support to the Engineering Department while coordinating the hotel's sustainability initiatives and EarthCheck certification requirements.

The role assists in engineering documentation, record management, purchasing administration, regulatory compliance tracking, and sustainability reporting to ensure the smooth and efficient operation of the department while supporting COMO's environmental and sustainability goals.

Tasks/Responsibilities

Engineering Administration

• Provide administrative support to the Chief Engineer and Engineering team.
• Maintain engineering records, permits, licenses, contracts, warranties, and statutory documentation.
• Prepare and update preventive maintenance schedules, work orders, and engineering reports.
• Maintain filing systems for engineering manuals, SOPs, drawings, and technical documentation.
• Monitor and update engineering inventories, spare parts records, and asset registers.
• Assist with procurement processes, including obtaining quotations, preparing purchase requests, and tracking deliveries.
• Process invoices and maintain records of departmental expenditures and budget tracking.
• Coordinate contractor visits, service schedules, and documentation requirements.
• Consolidate utility consumption data including electricity, water, gas, and waste management reports.
• Prepare departmental meeting minutes and track follow-up actions.
• Maintain employee training records, licenses, certifications, and attendance reports.
• Support compliance with workplace safety and health documentation requirements.

Sustainability & EarthCheck Coordination

• Act as the department coordinator for EarthCheck certification and sustainability programs.
• Collect, verify, and maintain sustainability performance data, including energy, water, waste, chemical usage, and carbon footprint metrics.
• Prepare monthly sustainability reports and dashboards for management review.
• Coordinate EarthCheck audits and maintain compliance documentation required for certification.
• Track sustainability objectives, targets, and action plans across departments.
• Facilitate data collection from operational departments to support EarthCheck submission requirements.
• Assist in developing and implementing sustainability initiatives aimed at reducing resource consumption and environmental impact.
• Monitor and report on key sustainability indicators and support continuous improvement initiatives.
• Coordinate environmental awareness campaigns and sustainability communication programs for employees.
• Support waste reduction, recycling, energy conservation, and water management programs.
• Liaise with internal departments and external stakeholders regarding sustainability initiatives and reporting requirements.
• Assist in maintaining sustainability policies, procedures, and training material.
• Participate in Green Team committees and meetings and follow up on agreed action items.

Requirements

• Diploma in Business Administration, Facilities Management, Engineering, Sustainability, Environmental Management, or related field.
• Minimum 2 years of experience in administrative coordination, facilities management, engineering administration, sustainability, or hospitality operations.
• Knowledge of EarthCheck, ESG reporting, sustainability frameworks, or environmental management systems will be an advantage.
• Proficient in Microsoft Office applications, particularly Excel, Word, and PowerPoint.
• Strong analytical skills with the ability to compile and interpret data and reports.
• Excellent organizational and document management skills.
• Strong communication and interpersonal skills.
• Detail-oriented with a high level of accuracy and accountability.
• Ability to manage multiple priorities and meet reporting deadlines.
• Experience in hotel, hospitality, commercial building, or facilities operations preferred.
