- We are looking for an experienced Shipment & Logistics Coordinator (12 months contract)

- Experience in logistics and supply chain coordination eg.freight payment, invoicing, inventory management, transportation optimization,etc
- Strong attention to detail and organizational skills.
- Excellent problem-solving and logical thinking abilities for logistics optimization and process improvement.
- Strong communication skills with the ability to liaise with government officers and external stakeholders.
- Proficient in computer systems and logistics-related applications.
- Familiarity with trade regulations and shipping documentation processes.
- Ability to work independently with minimal supervision.
- Able to provide guidance and training to junior Logistics Coordinators.
Job Description
- Manage expense claims, invoice processing, timesheet submission, and timekeeping records.
- Coordinate and schedule meetings, workshops, and team events.
- Support personnel administration activities, including organizational chart maintenance and internal communications.
- Manage office facilities, supplies, and inventories, including stationery, refreshments, uniforms, personal protective equipment (PPE), and office equipment.
- Arrange travel bookings and related logistics for employees as required.
- Support departmental administrative processes and reporting activities.
- Create purchase requisitions and perform related transactions in enterprise systems, including accrual postings, workforce reporting, budget tracking (CAPEX/OPEX), and preparation of management reports and presentations.
- Monitor and follow up on purchase requisitions, purchase orders, and vendor onboarding/engagement processes, ensuring timely communication with suppliers.
- Track invoice status and coordinate with relevant stakeholders to facilitate vendor payments.
- Coordinate courier, freight, and mail services as required.
- Arrange training registrations and coordinate employee training logistics.
- Liaise with internal IT support teams on hardware, software, and system-related requests.
- Support workplace safety initiatives, including serving as a designated Fire Warden during emergency situations.
- Act as administrator and key user for designated business systems and digital platforms.
- Provide ad hoc administrative and operational support to the team.
- Perform other duties and responsibilities as assigned by the supervisor.
