Head of Document Control - Leading HK Organisation

KITE Search are working with a famous institution who have a large concentration of assets across Hong Kong. As a leader in their field with a strong pedigree they are

an employer of choice with a strong brand. They are currently looking for a Head of Document Control to set up and manage this function across their Facilities division in which there are 5 teams. This role will work in unison with the team heads and form a key component to the business moving forward.

The ideal candidate will have experience in technical working environment (e.g. construction/project/architectural design etc.)

Responsibilities

• Devise a plan to establish a document library and a proper document control system and continue to manage the systems to ensure quality document management is in place at all times
• Support and maintain procedures for transparent, up-to-date and easily retrievable and traceable documents
• Creation of controlled document system and/or document management policy and/or document management policy
• Analyze current procedure and make improvements to increase efficiency and accuracy in document handling
• Align project documents and control all documents, including but not limited to drawings, submission and method statements, specs etc.
• Review and implementation of document change request process
• Regularly update the document management policy
• Digitalize and manage all controlled documents

Requirements

• Degree holder
• Fluent in English and Cantonese
• Experiences in office administration works
• Experiences in managing documentation centres/systems
• Ability to devise and manage a document and filing system catering for the needs of Facilities department
• Good interpersonal and communication skills and ability to work with teams, attention to details
• Good IT skills preferable with experience in document management applications
