Project & Client Success Coordinator

Position Summary

The Project & Client Success Coordinator serves as the primary liaison between clients, sales, and operations throughout the lifecycle of each project. This role combines project coordination, customer relationship management, business development, and field operations oversight to ensure projects are successfully planned, executed, and completed while maintaining a high level of customer satisfaction.

The ideal candidate is highly organized, proactive, customer-focused, and comfortable working both in the field and in an office environment. This individual will support client consultations, coordinate project resources, manage ongoing communications, oversee project progress, and actively contribute to business development through networking and referral generation.

Key Responsibilities

Client Relationship Management

● Assist in identifying client needs, expectations, and project objectives.

● Serve as the primary point of contact for clients throughout the project lifecycle.

● Maintain regular communication with clients and provide project updates.

● Conduct follow-ups with active prospects and existing customers.

● Generate and close sales for repair and rehash services when opportunities arise

● Visit active projects to strengthen customer relationships and encourage referrals.

Project Coordination & Execution

● Assist with site measurements and project assessments.

● Monitor project progress and ensure milestones are achieved according to schedule.

● Coordinate labor, subcontractors, materials, and resources required for each project.

● Identify cost-saving opportunities and recommend efficient project solutions.

● Ensure proper distribution of crews and resources across multiple projects.

● Conduct regular site visits to verify quality, progress, and adherence to project plans.

● Maintain detailed project tracking and status reports.

Vendor & Resource Management

● Source, evaluate, and coordinate vendors and subcontractors.

● Maintain strong relationships with suppliers and service providers.

● Ensure materials and resources are available according to project schedules.

● Monitor vendor performance and project-related expenses.

Business Development & Networking

● Attend weekly networking meetings and actively participate in referral groups.

● Participate in networking events and industry-related activities.

● Generate and cultivate self-generated leads through networking, referrals, and relationship-building efforts.

● Promote repair and rehash services through networking and client interactions.

● Canvass surrounding neighborhoods during site visits and project-related activities when appropriate.

CRM & Administrative Management

● Maintain accurate and up-to-date records in the CRM system.

● Track lead sources, project status, customer interactions, and follow-up activities.

● Ensure all project documentation is complete, organized, and accessible.

● Maintain task lists, schedules, and project records.

● Submit completed project documentation and reports to management in a timely manner.
