About the Role

The Finance Manager will own the agency’s day-to-day financial operations, reporting, forecasting, controls, and planning. This is not a narrowly defined accounting role. The right candidate will be equally comfortable reviewing cash flow, improving collections, leading the monthly close, analyzing client profitability, and advising leadership on financial risks and opportunities.

This role reports directly to the Principal and Managing Partner and works closely with agency leadership, operations, account teams, external accountants, banking partners, payroll providers, and other advisers.

The position is designed for an experienced finance professional who wants to take ownership of a growing company’s finance function and develop toward a future Controller role.

Key ResponsibilitiesCash Flow and Financial Planning

• Maintain and improve a rolling 13-week cash-flow forecast
• Monitor cash balances, obligations, expected collections, and short-term risks
• Support annual budgets, quarterly forecasts, and scenario planning
• Develop revenue, expense, staffing, and hiring forecasts
• Explain material budget variances and recommend corrective action
• Help leadership understand the financial impact of major decisions

Financial Reporting and Monthly Close

• Lead the monthly close in coordination with internal and external accounting resources
• Prepare accurate monthly financial statements and management reports
• Report clearly on revenue, gross margin, operating expenses, profitability, and cash
• Maintain balance-sheet reconciliations and reporting schedules
• Improve close timelines and reporting consistency
• Translate financial data into practical recommendations for leadership

Client and Project Profitability

• Develop profitability reporting by client, project, department, and service line
• Analyze retainers, project fees, production budgets, scopes, staffing plans, and pass-through costs
• Identify margin leakage, overservicing, scope creep, and underperforming engagements
• Support pricing, fee development, and contract reviews
• Compare estimated hours and costs with actual performance
• Partner with account leadership and operations to improve margins

Accounts Receivable and Collections

• Own accounts-reivable reporting and collection processes
• Maintain aging reports and prioritize overdue balances
• Coordinate with account teams and clients to resolve billing issues
• Improve billing timeliness, documentation, and follow-up
• Forecast collections and incorporate them into cash planning
• Escalate recurring client payment risks appropriately

Accounts Payable and Expense Management

• Oversee accounts payable, vendor payments, employee reimbursements, corporate cards, and expenses
• Ensure payments are accurate, approved, properly classified, and scheduled responsibly
• Review recurring expenses and vendor agreements
• Identify unnecessary spending and efficiency opportunities
• Maintain strong financial documentation and approval controls

Payroll and People-Related Finance

• Coordinate payroll with HR, operations, and external providers
• Review payroll data for accuracy before submission
• Track payroll, benefits, bonuses, commissions, contractor payments, and related liabilities
• Support workforce planning and hiring analysis
• Maintain appropriate separation between finance and HR responsibilities

Accounting, Compliance, and Controls

• Oversee the accuracy and integrity of the general ledger
• Coordinate with external accountants and tax advisers
• Support tax filings, year-end reporting, and compliance requirements
• Strengthen financial policies, approvals, documentation, and internal controls
• Identify control gaps and implement practical improvements
• Reduce risk without creating unnecessary bureaucracy

Banking, Systems, and Process Improvement

• Serve as a primary contact for banks, accountants, payroll providers, and financial vendors
• Support financing, credit, and working-capital discussions
• Prepare financial information for lenders, advisers, and ownership
• Improve accounting systems, workflows, dashboards, and reporting tools
• Reduce manual work and improve data accuracy
• Build scalable finance processes across the agency

Qualifications

• Bachelor’s degree in accounting, finance, business administration, or a related field
• Seven years plus of progressive accounting or finance experience
• Experience with monthly close, financial reporting, budgeting, forecasting, and cash-flow management
• Strong understanding of financial statements, reconciliations, accruals, and internal controls
• Demonstrated experience with accounts receivable, collections, accounts payable, and expense management
• Strong Excel and financial reporting skills
• Ability to explain financial information clearly to non-financial leaders
• Strong judgment, organization, discretion, and attention to detail
• Ability to work independently and manage multiple deadlines
• Authorization to work in the United States

Preferred Qualifications

• Experience in advertising, marketing, professional services, production, consulting, or another project-based business
• Experience with client, project, job, or service-line profitability
• Familiarity with retainers, project fees, production billing, media, and pass-through expenses
• Experience in a small or midsized entrepreneurial company
• Experience coordinating with CPA firms, payroll providers, banks, and tax advisers
• Experience improving financial systems, reporting, or controls
• Experience with multi-office, multi-state, or international operations
• CPA, CMA, MBA, or progress toward a relevant credential is helpful but not required
• Spanish proficiency is helpful but not required

Compensation and Benefits

The anticipated base salary range is $70,000–$90,000, depending on experience and qualifications. The position also includes:
