Position: Project Coordinator

Work Auth: US Citizen or Green Card Holder - required

Location: Houston, TX 77092

Pay Rate: $35-38/hr.

Duration: 12-month contract-to-hire

Hours: M-F normal business hours, some flex to come in early/leave early

• What you do:
• PC will be responsible for serving as the operational backbone of the project team - Responsible for document control, action item tracking, resource coordination, and milestone monitoring. While the PM is primarily responsible for customer interface (long term will get more exposure to take on more responsibility/client interaction)
• Supports the day-to-day execution of electrical and controls projects
• Ensures accurate project information is maintained and communicated to project leadership
• The work environment consists of approximately 60% office and 40% shop activities (i.e. follow up, document control, verifying progress, project tracking, etc), with time allocation varying based on project requirements and project phase.

• Usually 3-5 open projects that are split into 10+ mini projects
• We move very fast – typical turnaround is 8 – 20 weeks – some much longer only because of material procurement, then accelerated very quickly
• Most projects are DC and microgrid powder grids
• We purchase equipment/components from manufacturers and then package them into small enclosure, large houses, etc. – assembly of components to match design

Must Haves

• 1-5 years experience in project coordination, project administration, or operations support
• Strong organizational skills with the ability to manage multiple projects simultaneously
• Experience maintaining project documentation and document control systems
• Ability to track milestones, deadlines, risks, and action items
• Proficiency with Microsoft Office Suite (Excel, Word, Outlook, Teams)
• High attention to detail
• Trust but verify mindset
• Proactive problem-solving mindset and ability to work independently

Day to day

The Project Coordinator serves as the operational partner to the Project Manager, supporting the successful execution of electrical, controls, and automation projects from project kickoff through final closeout.

This role provides critical coordination across engineering, procurement, manufacturing, quality, field services, and customers to ensure projects remain organized, on schedule, and aligned with customer expectations.

As the administrative and communication backbone of the project team, the Project Coordinator is responsible for maintaining project documentation, coordinating schedules, tracking deliverables and action items, monitoring project milestones, facilitating communication among stakeholders, and ensuring project information is accurate and current.

By providing real-time visibility into project status, identifying potential issues early, and driving accountability for commitments, the Project Coordinator enables the Project Manager to focus on strategic decision-making, customer relationships, risk management, and overall project performance.

Success in this role is measured by exceptional organizational skills, proactive communication, attention to detail, disciplined follow-through, and the ability to keep multiple projects moving forward while ensuring nothing falls through the cracks.

Key Responsibilities

Project Planning & Execution

• Maintain complete, accurate, and up-to-date project documentation throughout the project lifecycle.
• Track all project action items, assign ownership, monitor due dates, and drive timely completion to ensure project commitments are met.
• Monitor project schedules, milestones, and deliverables, proactively identifying potential delays or risks and escalating concerns to the Project Manager before they impact project performance.
• Own the project document control process, including submittals, Requests for Information (RFIs), transmittals, drawing revisions, specifications, and customer documentation, ensuring all records are accurate, organized, and current.
• Support the Project Manager in the daily execution of assigned projects by coordinating activities, following up on outstanding tasks, facilitating communication between internal teams and customers, and ensuring project information is readily available for informed decision-making.

Quality Assurance & Reporting

• Ensure project deliverables meet established quality standards and are aligned with business objectives.
• Assist in preparing and presenting accurate project status reports to customers and executive leadership.

Safety & Compliance

• Utilize and support the Safety System.
• Abide by health and safety regulations and ensure that all activities comply with industry & company safety standards.
