Accounts Receivable Specialist

The Accounts Receivable Specialist will play a key role in protecting cash flow by owning a high-volume customer portfolio, driving timely collections, resolving complex account issues, and partnering closely with internal teams to improve billing accuracy and customer payment performance.

This position is well suited for a skilled AR professional who is confident managing aging balances, communicating with customers, using ERP data to prioritize work, and contributing to process improvements. Experience with SAP or a comparable ERP system is strongly preferred.

Key Responsibilities

Collections & Account Management

• Independently manage a high-volume portfolio of customer accounts to maximize cash collections and minimize past-due balances
• Conduct outbound collection calls and emails to follow up on overdue balances
• Analyze aging reports, customer payment behavior, credit risk, and account trends to prioritize collection strategy
• Research and resolve complex payment delays, short payments, deductions, billing disputes, and account discrepancies
• Maintain detailed collection notes and account status updates
• Escalate high-risk or delinquent accounts to management as needed
• Partner with sales and customer service teams to resolve account issues
• Maintain professionalism and strong customer relationships while enforcing payment terms
• Recommend process improvements that reduce recurring disputes, improve collection effectiveness, and support month-end AR accuracy
• Evaluate customer financial stability to help establish and update credit limits

Transactional & Clerical Support

• Generate and distribute invoices accurately and on schedule
• Post and apply incoming payments (ACH, wire, check, credit card)
• Reconcile customer accounts and research unapplied cash
• Assist with month-end close activities related to AR
• Maintain accurate customer account records in the ERP system
• 3+ years of progressive accounts receivable experience, including ownership of collections, cash application follow-up, and account reconciliation
• Strong working knowledge of AR lifecycle processes, aging management, credit holds, dispute resolution, and customer account maintenance
• Demonstrated customer communication, negotiation, and follow-up skills with the ability to balance relationship management and payment enforcement
• High attention to detail and organizational ability
• Ability to analyze credit reports (D&B) and identify account trends
• Hands-on experience working in ERP systems; SAP experience strongly preferred
• Intermediate to advanced Excel skills, including pivot tables, lookups, filtering large data sets, and reconciling account activity
• Ability to work independently, manage competing priorities, and meet collection and close deadlines in a fast-paced environment

The hourly range for this role is $25.00 to $30.00 per hour plus bonus potential; however, ODU considers several factors when extending an offer, including but not limited to, the role and associated responsibilities, a candidate’s work experience, location, education/training, and key skills.
