Office Assistant / Administrative Assistant

We are seeking an experienced Office Assistant / Administrative Assistant to provide front desk coverage and administrative support in a professional corporate environment. This role requires strong organizational skills, professionalism, discretion with confidential information, and the ability to interact with senior leaders, clients, and external partners.

Key Responsibilities

• Welcome visitors and provide reception/front desk support
• Answer and direct incoming phone calls
• Process incoming and outgoing mail
• Order and maintain office and kitchen supplies
• Support conference room setup, technology connections, catering, and printing needs
• Coordinate travel arrangements and expense reporting using Concur
• Assist with Outlook communications, meeting coordination, and Webex support
• Provide basic printer maintenance and coordinate repairs when required
• Maintain confidentiality while handling sensitive information
• Cross-train with team members and provide backup administrative support as needed

Must-Have Qualifications

• Associate's degree or equivalent experience
• 3–5 years of Administrative Assistant or Office Assistant experience
• Experience working in a corporate office environment
• Strong Microsoft Office skills (Outlook, Excel, Word)
• Experience with expense reporting and calendar management
• Excellent verbal and written communication skills
• Highly organized with strong attention to detail
• Ability to manage frequent interruptions and multiple priorities
• Comfortable interacting with senior leadership and external stakeholders
• Proven ability to handle confidential information with discretion

Preferred Qualifications

• Financial Services or Banking industry experience
• Bachelor's degree or higher
• Experience with Concur, Salesforce, and Webex

Pay Rate: $28.00/Hr
