As a Document Management Specialist, you will play a crucial role in ensuring the accuracy, accessibility, and confidentiality of our records. We are looking for a candidate who is passionate about document management and has a strong understanding of record-keeping regulations and procedures.

Manage and maintain the State of Minnesota's vast collection of documents, ensuring accuracy, accessibility, and confidentiality at all times.
Develop and implement efficient and effective document management processes and procedures for the organization.
Regularly review and audit documents to ensure compliance with record-keeping regulations and procedures.
Respond promptly and accurately to requests for document retrieval, both internally and externally.
Ensure all documents are properly classified, indexed, and stored in accordance with organizational standards.
Collaborate with various departments and teams to ensure timely and accurate document delivery and retrieval.
Monitor and track document circulation and retention, ensuring documents are properly archived and disposed of in accordance with retention policies.
Train and educate employees on document management best practices and procedures.
Regularly update and maintain document management systems and databases.
Conduct quality control checks to ensure the integrity and completeness of all documents.
Stay up-to-date on document management trends, regulations, and technologies to continually improve processes and systems.
Provide exceptional customer service to all internal and external stakeholders.
Maintain confidentiality and security of all documents and information.
Assist with special projects and assignments related to document management, as needed.
Report to senior management on the status of document management procedures and make recommendations for improvements.
