Administrative Assistant - Provider Credentialing and Medical Office Administration

We are seeking a highly organized, detail-oriented Administrative Assistant with experience in insurance payer credentialing and provider enrollment to join our team. This position plays a key role in ensuring providers are credentialed and enrolled with commercial insurance plans, government payers, and healthcare facilities while also providing administrative and human resources support.

The ideal candidate is self-motivated, able to manage multiple priorities, and committed to maintaining accuracy and confidentiality.

Primary Responsibilities

• Assist in coordination of all aspects of insurance payer credentialing, provider enrollment, recredentialing, and maintenance for Physicians, CRNAs, and NPs.
• Prepare, submit, and track credentialing applications with commercial insurance carriers, Medicare, Medicaid, CAQH, and other payer organizations.
• Monitor credentialing and enrollment status, follow up with payers, and resolve application issues to ensure timely approvals.
• Maintain accurate provider credentialing files, licensure, certifications, and compliance documentation.
• Assist with credentialing and privileging for hospitals and ambulatory surgery centers.
• Support medical provider onboarding and maintain HR-related records and compliance documentation.
• Answer and direct incoming phone calls professionally.
• Perform general administrative duties, including document preparation, filing, data entry, and record management.
• Place orders with online vendors and coordinate deliveries.
• Manage confidential and sensitive information with a high degree of professionalism and discretion.
• Support office initiatives and special projects.
• Collaborate with office staff and leadership to ensure efficient daily operations.
• Perform other duties as assigned.

Qualifications

• Associate degree or higher preferred.
• Minimum of two (2) years of medical office experience required.
• Previous experience with insurance payer credentialing, provider enrollment, or medical staff credentialing strongly preferred.
• Working knowledge of CAQH, Medicare, Medicaid, and commercial insurance enrollment processes preferred.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
• Excellent written and verbal communication skills.
• Strong organizational skills with exceptional attention to detail.
• Ability to prioritize multiple deadlines and work independently with minimal supervision.
• Professional demeanor and commitment to maintaining confidentiality.
