About the Role
We are searching for an outstanding individual to spearhead and manage the daily sales, leasing and operations of our co-warehousing facility. If you have a passion for commercial real estate, collaborating with emerging e-commerce brands & businesses, this role is tailor-made for you. This is a Part-Time role to start with the opportunity for a Full Time role.
Responsibilities
Leasing & Renewals
- Own the facility's occupancy performance, managing renewals and any new leasing activity from first inquiry to signed agreement.
- Give tours that are tailored and persuasive—helping prospective members understand what makes Portal different and why this space is right for them.
- Come prepared to handle objections and keep deals moving forward.
- Keep CRM data accurate and current, ensuring no lead goes cold and every follow-up happens on time.
- Shepherd new members through documentation, insurance requirements, and onboarding from contract to move-in.
- Monitor upcoming lease expirations well in advance and engage members proactively to renew before they begin looking elsewhere, treating retention as the primary leasing objective.
Operations & Facility Management
- Maintain the facility at a high standard every day—clean, safe, organized, and functioning as members expect.
- Coordinate recurring services (HVAC, landscaping, cleaning) and respond to ad-hoc needs as they arise.
- Receive and stage packages and shipments on behalf of members, managing daily carrier coordination.
- Conduct regular property walkthroughs and address issues before they escalate.
- Collect rent on schedule, follow up on late payments, and manage the lease termination process when necessary.
- Own safety protocols and keep accurate safety records for the facility.
Vendor & Property Management
- Take end-to-end responsibility for facility projects—repairs, unit turnovers, and improvements—from writing the scope to confirming the work is complete and done right.
- Solicit competitive bids, select vendors carefully, and track progress against agreed timelines and quality standards.
- Keep vendor contracts, certificates of insurance, and required paperwork current and on file.
- Manage costs proactively, resolve billing discrepancies, and surface budget variances to the Portal team early.
Member Experience & Community
- Be the person members can count on—responsive, genuinely interested in their businesses, and quick to resolve issues before they become complaints.
- Create a sense of community at the facility through programming, events, and consistent personal engagement.
- Deepen member relationships in ways that make renewal a natural outcome rather than a negotiation.
- Represent Portal in the broader Salt Lake City business community to strengthen the brand and attract new members.
- Bring fresh ideas for member services and community programming to the Portal team with a clear rationale.
Reporting
- Track facility income and expenses closely and deliver monthly variance reports to the Portal team.
- Manage spending in line with budget, flag discrepancies early, and follow up with vendors on billing issues.
- Approach the facility's financial performance with the same care you'd give your own business.
- Partner with Portal's corporate team on annual operating budgets and longer-range capital planning.
- Generate operational and performance reports to monitor and improve facility KPIs.
Our Ideal Candidate
Required
- 2+ years of sales or account-management experience, ideally with a focus on renewals and retention.
- Proficiency in Microsoft Office and comfort with CRM and property management software.
- Strong organizational skills, attention to detail, and reliable recordkeeping.
- Availability during business hours, with responsiveness after-hours as needed.
Preferred
- Background in property management, multi-family, or hospitality.
- Familiarity with logistics operations and carrier management.
- Bachelor's degree or equivalent experience.
- Strong ties to the local Salt Lake City community.
