Position Summary

The Administrative Assistant & Partner Relations Coordinator provides administrative support to leadership while serving as a key point of contact for healthcare partners, physician offices, and community organizations. This role helps coordinate daily operations, strengthen partner relationships, and ensure an exceptional experience for both internal teams and external partners.

Key Responsibilities

• Provide administrative support to leadership and cross-functional teams.
• Answer and direct phone calls, emails, and partner inquiries.
• Coordinate calendars, meetings, and mobile screening event logistics.
• Build and maintain positive relationships with physician offices, healthcare partners, employers, and community organizations.
• Conduct routine follow-up with partners to ensure satisfaction and address questions or concerns.
• Maintain accurate partner records, reports, and CRM data.
• Prepare documents, reports, presentations, and business correspondence.
• Support onboarding of new partners and assist with outreach initiatives.
• Maintain organized digital and physical records.
• Assist with HR documentation, data entry, and operational reporting.
• Support compliance-related documentation and special projects.
• Perform other administrative and partner support duties as assigned.

Qualifications

• High school diploma required; Associate or Bachelor's degree preferred.
• Two or more years of administrative, customer service, account management, or healthcare experience.
• Excellent organizational, communication, and time-management skills.
• Strong customer service and relationship-building abilities.
• Proficiency in Google Workspace (Docs, Sheets, Calendar) and Microsoft Office.
• Ability to manage confidential information with professionalism.
• Comfortable working in a fast-paced, evolving environment with multiple priorities.
• Positive attitude, adaptable, and receptive to feedback.

Preferred Qualifications

• Healthcare or medical office experience.
• Experience working with physician offices, healthcare providers, or community organizations.
• Familiarity with CRM platforms (HubSpot preferred), scheduling systems, EMR, or billing software.
• Experience coordinating events, outreach, or partner communications.
