Seeking a detail-oriented Mortgage Mailroom Clerk to support our post-closing and document management operations. This position plays a critical role in maintaining the integrity, security, and accuracy of original loan documents, including mortgage notes and other legal records.

Position Summary

The Mortgage Mailroom Clerk is responsible for receiving, processing, tracking, scanning, and organizing mortgage-related documents while ensuring strict adherence to company policies and industry regulations. The ideal candidate is highly organized, dependable, and experienced in handling sensitive financial documentation.

Qualifications

• Prior experience in mailroom operations, document management, mortgage servicing, banking, or financial services preferred.
• Familiarity with mortgage documents such as promissory notes, deeds of trust, mortgages, and closing packages.
• Proficiency with Microsoft Office Suite and document management systems, strong data entry and Excel skills
• Strong organizational skills with exceptional attention to detail.
• Ability to handle confidential information with professionalism and discretion.
• Effective verbal and written communication skills.
• Ability to work independently and manage multiple priorities in a fast-paced environment.

Key Responsibilities

• Receive, sort, and distribute incoming and outgoing mail related to mortgage loan files.
• Process and track original mortgage notes and other critical legal documents.
• Prepare documents for scanning, indexing, and electronic storage.
• Maintain accurate records within document management and tracking systems.
• Organize and manage physical and digital filing systems for easy retrieval.
• Coordinate document flow between departments to ensure timely processing.
• Support internal and external audits by locating and providing requested documentation.
• Verify document completeness and identify any discrepancies or missing information.
• Maintain confidentiality and security of borrower information and loan records.
• Ensure compliance with federal regulations, company policies, and document retention requirements.
