Duties

• Greet visitors and clients warmly, providing excellent customer service with a friendly and professional demeanor
• Manage multi-line phone systems to handle inquiries, direct calls accurately, and relay messages promptly
• Maintain organized reception areas, including filing documents, managing calendars, and updating spreadsheets
• Utilize office management software such as Microsoft Office and productivity tools to support daily administrative tasks
• Perform data entry with high accuracy using computer literacy skills to update records and maintain databases like QuickBooks
• Handle clerical responsibilities including proofreading documents, managing correspondence, and maintaining filing systems
• Support office operations by coordinating appointments, managing schedules, and assisting with general administrative duties

Skills

• Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets and data management tools
• Excellent communication skills, both verbal and written, with a focus on phone etiquette and client interaction
• Bilingual abilities are highly desirable to serve diverse client needs effectively
• Demonstrated experience in office management, clerical work, or administrative support roles
• Technical proficiency with multi-line phone systems, data entry software, and productivity applications like QuickBooks
