Job Overview

We are seeking a dedicated and organized Administrative Assistant and Support to join our team. The ideal candidate will possess strong administrative skills and have experience in office management. This role requires excellent communication abilities, attention to detail, and the capacity to handle multiple tasks efficiently in a fast-paced environment.

As Administrative Assistant and Support, you will play a vital role in ensuring the smooth operation of our office and providing exceptional support to our team and clients. Experience in Property Management is a plus.

Duties

• Manage daily office operations, including front desk duties and phone systems.
• Answer and direct calls using phone systems with professionalism and courtesy.
• Perform data entry tasks accurately and efficiently.
• Maintain organized filing systems for documents and records.
• Provide customer support by addressing client questions and concerns promptly.
• Engage in Property Management activities, utilizing software systems such as Rentec for data entry, filing, rent payments, and maintenance requests.
• Support property management tasks including showing properties, processing applications, and preparing lease agreements.
• Support administrative functions such as proofreading documents, typing reports, and managing correspondence.
• Utilize Microsoft Office Suite and Google Workspace for various tasks including document creation and spreadsheet management.
• Coordinate with vendors for property maintenance and repairs
• Collaborate with team members to ensure effective office management.
• Travel may be needed within South Bay/Santa Cruz Area for apartment inspection/move-in or move-out

Qualifications

• Previous office experience is preferred; clerical or administrative experience is a plus.
• Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace.
• Familiarity with Rentec is advantageous but not required.
• Strong organizational skills with the ability to prioritize tasks effectively.
• Excellent phone etiquette and customer service skills are essential.
• Bilingual candidates are encouraged to apply for enhanced communication capabilities.
• Ability to manage time efficiently while handling multiple responsibilities.
• Experience as a dental or medical receptionist is beneficial but not mandatory.
• Strong typing skills with attention to detail in proofreading documents.
