HeadacheAway MD is a rapidly growing multidisciplinary healthcare organization specializing in Neurology, Chiropractic, Rehabilitation, Personal Injury, and Integrative Medicine. Over the next year, we will be expanding into Medical Aesthetics, Wellness, and additional specialty service lines with the goal of building a scalable, multi-location healthcare organization.
We are seeking an experienced healthcare operations leader with an MBA and a proven track record of improving operations, increasing profitability, and helping scale healthcare organizations. This individual will partner directly with ownership to build the systems, processes, and infrastructure necessary to support our long-term growth.
This is not a traditional Office Manager or Practice Administrator position.
This is a leadership role for someone who understands healthcare operations, financial performance, revenue cycle management, business analytics, staff leadership, strategic growth, and organizational development.
You will work directly with ownership to improve systems, increase profitability, develop high-performing teams, and help build a best-in-class healthcare organization.
Position Summary
The Director of Operations & Business Growth reports directly to the Chief Operating Officer and works closely with the Chief Executive Officer/Medical Director to execute the organization's strategic vision.
This role requires an ownership mindset. We are looking for someone who takes initiative, solves problems proactively, uses data to drive decisions, and holds themselves and others accountable for measurable business results.
The successful candidate will oversee operational performance, financial analytics, revenue cycle optimization, staff leadership, strategic initiatives, and business growth while helping transform our practice into a scalable, multi-location healthcare organization.
Primary ResponsibilitiesBusiness Growth & Strategic Development
- Develop and execute initiatives to increase patient volume across all service lines.
- Identify new business opportunities and revenue streams.
- Develop physician, attorney, employer, and community referral relationships.
- Assist with expansion into medical aesthetics and wellness services.
- Develop membership and recurring revenue programs.
- Analyze profitability by provider and service line.
- Assist ownership with strategic planning, forecasting, and long-term business growth.
- Identify operational opportunities that increase profitability while improving the patient experience.
Operations Leadership
- Oversee the day-to-day business operations of the practice.
- Develop, implement, and continuously improve Standard Operating Procedures (SOPs).
- Build scalable operational systems that support future growth.
- Create workflows that improve efficiency and accountability.
- Monitor department performance and hold department leaders accountable.
- Optimize provider schedules, staffing, patient flow, and office efficiency.
- Lead strategic business initiatives from planning through implementation.
- Negotiate vendor contracts and evaluate vendor performance.
- Continuously identify opportunities to improve operational efficiency.
Revenue Cycle Management & Patient Collections
- Oversee revenue cycle performance across the organization.
- Monitor patient balances and collection performance.
- Confidently discuss financial responsibility, deductibles, copays, coinsurance, and outstanding balances with patients.
- Train front office staff on financial policies and collection procedures.
- Audit daily collections and payment posting accuracy.
- Review Explanation of Benefits (EOBs) for reimbursement accuracy.
- Review payer reimbursement trends and identify opportunities to improve collections.
- Audit insurance payments and identify reimbursement discrepancies.
- Identify denial trends and underpayment opportunities.
- Collaborate with the billing department to resolve denials and maximize collections.
- Monitor aging reports and collection KPIs.
- Ensure front office financial policies are consistently followed.
Financial Management & Business Analytics
- Review monthly Profit & Loss statements with ownership.
- Assist with annual budgeting and financial forecasting.
- Monitor departmental spending and operating expenses.
- Analyze profitability by provider, department, and service line.
- Develop executive dashboards and business reports.
- Track financial trends and recommend operational improvements.
- Identify cost-saving opportunities.
- Negotiate vendor agreements.
- Monitor inventory management and purchasing controls.
KPI Development & Performance Management
Develop, monitor, and report key performance indicators including
- Revenue per provider
- Revenue per treatment room
- Provider productivity
- New patient growth
- Referral conversion rates

Present weekly and monthly executive dashboards to ownership with actionable recommendations.
Marketing & Business Development
- Manage relationships with marketing agencies and outside vendors.
- Track marketing performance and return on investment.
- Monitor lead generation and conversion rates.
- Oversee online reputation management.
- Coordinate referral development and community outreach.
- Assist with promotional campaigns and business development initiatives.
Human Resources & Leadership
- Recruit, interview, hire, and onboard exceptional team members.
- Develop onboarding and training systems.
- Conduct employee performance evaluations.
- Coach department leaders and supervisors.
- Develop accountability systems.
- Improve employee engagement and retention.
- Foster a culture of professionalism, ownership, teamwork, and continuous improvement.
Technology, AI & Innovation
- Evaluate and implement AI and automation solutions that improve operational efficiency, reduce administrative workload, and enhance the patient experience.
- Optimize EMR and practice management workflows.
- Evaluate new technologies that improve operations.
- Lead technology implementation projects.
Compliance
- Coordinate HIPAA and OSHA compliance initiatives.
- Maintain staff credentialing records.
- Ensure policies and procedures remain current.
- Support internal quality improvement initiatives.
- Assist with vendor contracts and regulatory readiness.
Required Qualifications
- MBA (Master of Business Administration) required.
- Minimum 5 years of progressive leadership experience in healthcare operations with demonstrated success improving performance and helping scale a medical practice or healthcare organization.
- Demonstrated ability to build scalable business systems rather than simply maintain existing operations.
- Strong understanding of business operations, financial management, and strategic planning.
- Experience with revenue cycle management and patient collections.
- Experience reviewing Explanation of Benefits (EOBs) and insurance reimbursement.
- Strong understanding of medical billing workflows.
- Experience developing SOPs, KPIs, dashboards, and accountability systems.
- Proven leadership experience managing multiple departments.
- Strong financial analysis, budgeting, forecasting, and reporting skills.
- Experience interpreting financial statements, P&L reports, and operational dashboards to make strategic business decisions.
- Advanced Microsoft Excel and business reporting skills.
- Excellent communication, leadership, project management, and organizational skills.
Preferred Qualifications
- Multi-provider medical practice leadership experience.
- Experience in neurology, orthopedics, pain management, chiropractic, rehabilitation, or medical aesthetics.
- AdvancedMD experience.
- Knowledge of CPT coding and insurance reimbursement.
- Lean Six Sigma, PMP, or similar operational improvement certification.
