Document Administrator

Summary

Primary responsibilities will consist of project management support centered around document control and administration. Primary Responsibilities

• Understand project reporting and backup requirements to ensure compliance
• Manage request for documentation from internal and external stakeholders
• Act as the point of contact for distributing project related information with all levels of the project team and potentially external parties
• Prepare ad-hoc reports on projects when required
• Assist the project teams with project scheduling
• Have a clear understanding of project deliverables and milestones
• Communicate changes to document control procedures or other relevant information to the project team in consultation with the Project Manager
• Assists in implementing new and improving document control systems and processes
• Manage and maintain construction project files, per Owner's preference for DOT and municipal projects
• Prepare and submit monthly pay estimates, change orders, progress reports, contractor payrolls and labor wage rate interviews
• Attend and participate in pre-construction meetings, project progress meetings and client close out meetings
• Manage project documentation for compliance with Local, State DOT & FHWA requirements
• Support PM's through preparation, review and issuance of monthly client invoices in a timely manner
• Perform other duties as may be assigned.
