Director of Finance

Job Purpose

The Director of Finance is responsible for overseeing the Museum’s financial health, fiscal integrity, and regulatory compliance. This role leads budgeting, financial reporting, payroll coordination, internal controls, and audit readiness while serving as a strategic partner to the Executive Director and the Board Finance Committee.

This position is finance-focused and does not include operational management, venue rentals, employee onboarding or offboarding, or benefits administration.

Key Duties and Responsibilities

Finance

• Oversee and lead annual budgeting and financial planning processes in partnership with the Executive Director.
• Monitor organizational financial performance and keep senior leadership informed of financial status.
• Manage cash flow, forecasting, and financial analysis.
• Supervise accounting operations including bookkeeping, bank deposits, receivables, and payables.
• Provide overall financial oversight and ensure sound fiscal management practices are implemented and maintained.
• Manage and oversee monthly accounting close processes and ensure accuracy of the general ledger.
• Perform monthly balance sheet reconciliations, including accounts, investments, prepaid expenses, deposits, accruals, and depreciation.
• Analyze and present month-end and year-end financial reports to leadership and the Board.
• Prepare grant budgets and grant budget variance reports; monitor restricted funds in coordination with program leadership.
• Coordinate and lead the annual audit process and serve as the primary liaison with external auditors and the Board Finance Committee.
• Prepare annual operating budgets and manage budget variance and fiscal reports for donors and leadership.
• Update and implement accounting policies and procedures as needed.
• Provide financial support and reporting to the Board Finance Committee.

Payroll & Tax Coordination

• Partner with the Museum’s third-party payroll provider to ensure accurate and timely payroll processing.
• Review payroll reports for accuracy, proper allocation, and compliance prior to finalization.
• Ensure all payroll-related tax filings, remittances, and year-end reporting are completed accurately and on time by external providers.
• Serve as the internal financial point of contact for payroll- and compensation-related inquiries.
• This role does not include employee onboarding, offboarding, or benefits administration.

Professional Conduct & Representation

• Maintain a professional, ethical, and accountable approach to financial stewardship.
• Communicate clearly, respectfully, and collaboratively with leadership, staff, Board members, and external partners.
• Exercise sound judgment and discretion when handling confidential financial information.
• Represent the Museum in alignment with its values, standards, and financial governance expectations.
• Perform other duties as reasonably assigned that are consistent with the scope and responsibilities of this position.

Required Skills & Qualifications

• Bachelor’s degree in Finance, Accounting, Business Administration, or a related field preferred.
• Minimum of five (5) years of progressive experience in finance or accounting.
• Demonstrated experience working with third-party payroll providers and external auditors.
• Strong knowledge of nonprofit financial compliance is preferred.
• Excellent analytical, organizational, and problem-solving skills.
• Strong verbal and written communication skills.
• Proficiency with accounting software and Microsoft Office or related financial systems.
• Ability to work independently and collaboratively across teams.

Schedule & Work Hours

• This position is full-time, exempt and generally follows standard business hours.
• Additional hours may be required periodically to support budget cycles, audits, Board meetings, or fiscal deadlines.

Working Conditions

• This position is primarily office-based and requires prolonged periods sitting at a desk and working on a computer.
• May occasionally be exposed to noise or activity in shared workspaces.
• Limited local travel may be required for meetings; no regular overnight travel is expected.
