POSITION OVERVIEW
The Business Operations Manager plays a critical role in supporting business development and client services for the Third-Party Property Management platform. The ideal candidate for this role is detail-oriented, a self-starter, and customer-centric.
This position will serve as key support and a strategic partner to the Executive Vice President (EVP) of Operations, Vice Presidents (VP) of Business Development & Client Services and the broader Birge & Held Operations team. This role is ideal for someone who thrives in a fast-paced environment and is passionate about operational excellence, organizational support, and driving business growth.
A successful candidate will play a vital role in ensuring smooth day-to-day operations, supporting key initiatives, and contributing to business development efforts aimed at expanding our multifamily portfolio. The Business Operations Manager reports directly to the Vice President Business Development & Client Services.
KEY RESPONSIBILITIES
Executive & Operational Support
- Partner with the EVP of Operations and VP of Business Development & Client Services to support high-level initiatives, manage special projects, and maintain visibility into department priorities.
- Provide organizational and administrative support to the B&H Operations office suite, including coordination of calendars, meetings, and follow-up action items.
- Manage internal communications related to client communication and new business initiatives and maintain documentation in SharePoint or other designated systems.
Portfolio & Document Management
- Conduct all business in accordance with company policies, Fair Housing laws, ADA, FCRA, and applicable multifamily housing regulations.
- Maintain the Property Management portfolio tracker and document library, ensuring client lists, property details, and contract templates are accurate and up to date.
- Manage and update the CRM for new and existing third-party clients to include scheduled follow-ups and communication tracking.
- Draft, distribute, and track Property Management Agreements from initiation through execution.
- Support onboarding and offboarding of Client Assets properties through document coordination and team communication.
- Manage the Asset Transition SmartSheet
- Lead weekly Transitions calls, ensuring cross functional teams are completing their items in proper time
Event Planning & Project Coordination
- Lead planning and execution of Quarterly Leadership Meetings and other key events, managing timelines, budgets, logistics, and content coordination.
- Collaborate across departments to keep =projects on track and ensure alignment with strategic goals.
Marketing Support
- Review weekly KPIs from KNOCK to track conversion ratios
- Communicate findings to VP of Client Success and RVPs and RPMs.
Business Development Support
- Partner with leadership to support business development activities with multifamily property owners and potential clients.
- Assist with outreach materials, proposals, presentation decks, and follow-up documentation to help attract and secure new third-party management contracts.
- Coordinate internal resources to ensure a smooth handoff from business development to operations when new assets are added to the portfolio.
EDUCATION, EXPERIENCE, AND SKILLS
- 3+ years of management experience in residential property management or operations support.
- Prior experience in an executive assistant, administrative, or operations management role preferred.
- Exposure to business development or client relationship management is a plus.
- Highly organized, structured, and capable of juggling multiple priorities with minimal oversight.
- Proactive and self-motivated, with a problem-solving mindset and strong critical thinking skills.
- Strong written and verbal communication skills with attention to detail.
- Comfortable handling sensitive information with professionalism and discretion.
- Technically proficient with Microsoft Office Suite, including strong Excel skills; experience with RealPage/OneSite a plus.
- Proven ability to thrive in fast-paced environments and adapt to changing needs.
- Willingness to jump in on both tactical tasks and strategic initiatives.
- Commitment to delivering a high level of internal service and operational excellence.
- A High school diploma or equivalent (e.g., GED) required.
