About the role

Working Pattern & Hours: Monday-Friday, 37.5 hours per week

Location: Hybrid/Flexible – 3 days in office (Office located: Lancashire, WN8)

The Product Manager for Operational Pharmacy Systems will own the development and optimisation of internal systems that power Chemist4U’s Pharmacy Hub, including dispensing workflows, inventory management, and compliance tools.

This role requires a blend of product management expertise, pharmacy operations knowledge, and Agile methodologies to deliver solutions that enhance efficiency, ensure regulatory compliance (e.g., GPhC standards), and improve patient outcomes. The Product Manager will collaborate with pharmacists, developers, and stakeholders to drive digital transformation in our operational processes.

Key Responsibilities

As a Product Manager, your key areas of responsibility will include:

Product Strategy and Vision

• Define and articulate the product vision for operational pharmacy systems, aligning with Chemist4U’s goals of scalability, compliance, and patient safety.
• Develop a roadmap for system enhancements prioritizing features based on business impact and user needs.
• Conduct market research and competitor analysis to identify trends and opportunities in pharmacy tech (e.g., AI-driven dispensing, real-time inventory).

Backlog Management

• Own the product backlog, creating clear user stories, acceptance criteria, and technical requirements for systems like dispensing software, barcode scanners, and compliance dashboards.
• Prioritize features based on stakeholder input, regulatory requirements (e.g., GPhC, MHRA), and operational bottlenecks (e.g., peak-time delays).
• Refine backlog items with the development team to ensure clarity and feasibility within Agile sprints.

Stakeholder Collaboration

• Partner with the Head of Product, dispensing teams, customer services and operations managers to gather requirements and validate system functionality.
• Engage with external partners (e.g., NHS, private prescribers) to ensure systems support seamless prescription integration.
• Communicate progress, risks, and roadmaps to senior leadership, securing buy-in for key initiatives.

System Development and Delivery

• Work closely with Agile development teams (developers, QA, UX designers) to deliver system updates in sprints, ensuring high-quality releases.
• Attend and facilitate with delivery managers in sprint planning, stand-ups, and retrospectives, fostering collaboration and continuous improvement.
• Oversee user acceptance testing (UAT) with hub staff to ensure systems meet operational and compliance needs (e.g., GDPR for patient data, GPhC for dispensing accuracy).

Compliance and Risk Management

• Ensure systems adhere to GPhC Standards for Registered Pharmacies (e.g., secure data handling, accurate dispensing records) and other regulations (e.g., Medicines Act 1968, UK GDPR).
• Implement features to mitigate risks, such as alerts for high-risk medicines (e.g., valproate) or controlled drug audits.
• Collaborate with the compliance team to address findings from GPhC inspections or MHRA audits.

Performance Monitoring

• Define and track KPIs for system performance, such as dispensing error rates, inventory accuracy, and processing times.
• Gather feedback from hub staff post-release to identify pain points and prioritize iterative improvements.
• Use analytics tools (e.g., Power BI, Tableau) to monitor system adoption and operational impact, reporting insights to leadership.

Qualifications & Experience

The successful Product Manager will bring the following skills and experience:

Essential

• Bachelor’s degree or similar in business, healthcare, technology, or a related field.
• 5+ years of product management experience, ideally in healthcare, pharmacy, or operational systems
• Strong understanding of pharmacy operations, including dispensing, inventory, and compliance workflows
• Understanding of NHS prescription workflows and private prescribing processes
• Proven track record of managing end-to-end product lifecycles in Agile environments (Scrum or Kanban)
• Experience with backlog tools (e.g., Jira, Azure DevOps) and data-driven prioritisation.

Desirable

• Certification in Agile/Scrum (e.g., PSPO, SAFe POPM) or product management (e.g., Pragmatic Institute)
• Basic knowledge of data analytics or UX design principles to enhance system usability.
