Job Summary

An integral member of the Massage Addict team, Guest Service Administrator (GSA), thrives on consistently providing an exceptional experience from the moment a client walks through our doors. Embracing our fast-paced clinic environment, GSAs are motivated, initiative-taking, outstanding communicators, highly organized and true multi-taskers.

With a ‘can-do’ and ‘no task too small’ mindset, a GSA can manage both administrative and clinic responsibilities with care while also ensuring the safety of our clients and therapists.

Key Responsibilities

Provide exceptional client service, answering telephone calls and booking appointments.

• Greet clients upon arrival and help them feel welcome and comfortable in the clinic.
• Process direct billing for insurance claims accurately and efficiently.
• Maintain up-to-date knowledge of all Massage Addict services
• Provide administrative tasks by managing digital intake forms and client documentation.
• Ensure a clean, safe, and organized reception area, and maintain the cleanliness of guest-facing spaces such as the front desk and treatment rooms, in line with clinic procedures

Requirements & Qualifications

• Minimum of 2 years' experience in a client-facing, service-oriented or administrative role
• Strong verbal communication and phone etiquette skills
• Professional, calm, and approachable demeanor with excellent interpersonal skills
• Highly organized and able to manage multiple tasks in a fast-paced setting
• Proficient with Microsoft Office (Word, Excel, Outlook) and comfortable with digital forms and documentation
• Reliable transportation to and from the clinic
• Availability to work part-time hours, primarily on weekends (Saturday and Sunday)
