The Document Control & Turnover Coordinator is responsible for coordinating, managing, and maintaining project documentation throughout the project lifecycle while supporting project closeout and turnover activities. This role ensures that document control processes, quality records, and turnover deliverables are accurate, complete, and submitted in accordance with project, client, and regulatory requirements.

The position works closely with engineering, construction, quality, commissioning, and project management teams to facilitate the timely flow of information and successful project handover

Main Responsibilities

Document Control

• Manage the receipt, tracking, distribution, and storage of project documentation.
• Maintain document registers, transmittals, logs, and databases within document management systems.
• Ensure document numbering, revision control, and approval processes are followed.
• Coordinate document reviews, approvals, and distribution among internal and external stakeholders.
• Support project teams in implementing document control procedures and standards.

Turnover & Handover

• Coordinate the collection, review, and compilation of turnover packages and project closeout documentation.
• Track turnover requirements and ensure deliverables are submitted in accordance with contractual obligations.
• Liaise with Quality, Construction, Engineering, and Commissioning teams to obtain required records and certifications.
• Maintain and update turnover trackers/registers to monitor package status, document completeness, approvals and handover progress.
• Follow-up on completed turnover packages to verify documentation completeness and readiness for turnover review initiation in EDMS (Aconex).
• Monitor turnover milestones and provide reporting on completion status.
• Support the preparation of final handover documentation to clients and stakeholders.
• Assist in identifying and resolving documentation gaps that could impact project closeout.

Requirements

• Post-secondary education in Business Administration, Engineering Technology, Project Administration, or a related field.
• 2+ years of experience in document control, turnover, quality records management, or project administration within construction, infrastructure, engineering, or technical projects.
• Experience with Electronic Document Management Systems (EDMS).
• Strong understanding of document control processes and project closeout requirements.

• Proficiency with Microsoft Office Suite and document management software.
• Ability to manage multiple priorities and meet strict deadlines.
• Strong collaboration and relationship-building skills across multidisciplinary teams.
