KEY RESPONSIBILITIES
A. Project Planning & Initiation
- Lead project kick-off meetings and define project scope, objectives, deliverables and timelines
- Develop detailed project execution plans, work programs and resource allocation strategies
- Establish project milestones, critical paths and key performance indicators (KPIs)
- Align project goals with client expectations, design intent and business objectives
B. Design Coordination & Management
- Coordinate closely with interior designers, architects and consultants during design development stages
- Review design drawings, specifications and material selections to ensure buildability, cost-efficiency and compliance
- Manage design changes, revisions and ensure proper documentation and approvals are obtained
- Ensure all design outputs meet client requirements and regulatory standards
C. Budgeting & Cost Control
- Prepare, manage and monitor project budgets, cost plans and cash flow forecasts
- Evaluate quotations, tenders and negotiate contracts with vendors and contractors
- Track project expenditures and ensure costs remain within approved budgets
- Manage variation orders (VOs), claims and cost implications effectively
D. Procurement & Contract Management
- Oversee procurement of materials, furniture, fixtures and equipment (FF&E)
- Manage tender processes, bid evaluations and contractor/vendor appointments
- Administer contracts, ensuring compliance with terms, conditions and scope of work
- Monitor supplier and contractor performance including delivery timelines and quality standards
E. Construction & Site Management
- Oversee day-to-day site activities to ensure work progress aligns with project schedule
- Conduct regular site inspections to ensure quality, workmanship and safety standards are met
- Coordinate with contractors, subcontractors and site teams to resolve technical and operational issues
- Ensure proper implementation of drawings, specifications and approved materials
F. Stakeholder & Client Management
- Act as the primary point of contact for clients throughout the project lifecycle
- Provide regular updates, reports and presentations on project progress, risks and issues
- Manage client expectations, feedback and approvals at each project stage
- Liaise with authorities, consultants and other stakeholders as required
G. Quality Assurance & Compliance
- Ensure all works comply with design intent, quality standards and statutory/regulatory requirements
- Implement and monitor quality control procedures and inspection checklists
- Ensure adherence to local authority approvals, building codes and safety regulations
- Maintain proper documentation for audits and compliance purposes
H. Risk & Issue Management
- Identify potential project risks, delays and constraints proactively
- Develop and implement mitigation strategies to minimize impact
- Resolve conflicts, technical challenges and unforeseen site issues effectively
I. Project Reporting & Documentation
- Prepare and maintain comprehensive project documentation, including schedules, reports and correspondence
- Track project progress against timelines and KPIs, highlighting any deviations
- Provide accurate and timely reports to management and clients
- Maintain records of variations, approvals and contractual documents
J. Project Completion & Handover
- Oversee final inspections, snagging and defect rectification processes
- Ensure timely project completion and handover in accordance with contractual requirements
- Coordinate submission of as-built drawings, warranties, manuals and completion reports
- Conduct post-project evaluations and lessons learned reviews
K. Ad-hoc Duties
- Undertake additional assignments, projects and responsibilities as directed by the Director from time to time.
REQUIREMENTS

Bachelor’s Degree in Interior Architecture, Architecture, Interior Design or related field

Minimum 8 years of relevant experience in interior fit-out or architectural project management

Proven experience managing commercial, retail, hospitality or residential interior projects

Strong knowledge of project management methodologies, construction processes, and materials

Proficient in AutoCAD, Microsoft Project, and/or other project management tools

Strong leadership, communication, and stakeholder management skills

Ability to manage multiple projects simultaneously and meet tight deadlines

Good understanding of local authority regulations and compliance requirements
