At Hatch, our Project Support Coordinators play a critical role in enabling successful project delivery through effective document management, project administration, and information management support. Working closely with multidisciplinary teams, PSCs ensure project information is organized, compliant, accessible, and aligned with project and client requirements.

Role Summary

Reporting to the Lead Project Support Coordinator or Project Information Manager, the Project Support Coordinator provides project administration and document management support throughout the project lifecycle. The role is responsible for assisting project teams with planning, setup, execution, document control activities, information management, and project systems support.

Key Responsibilities

Project Planning & Setup

• Support the development and maintenance of project procedures and documentation standards.
• Assist with the setup and administration of Electronic Document Management Systems (EDMS).
• Support project teams in complying with project procedures and document management requirements.
• Configure and maintain project communication and collaboration platforms, including SharePoint sites.
• Develop and deploy project document templates.
• Coordinate staff mobilization processes when required.
• Assist functional leads with organizational charts, work plans, reporting activities, and data management across project systems.
• Communicate project information management processes and procedures to stakeholders.

Project Execution

• Support document authors with templates, formatting, styles, and quality checks.
• Coordinate and schedule project meetings where required.
• File and maintain project correspondence and documentation within the EDMS.
• Arrange translations of non-technical project documentation when necessary.
• Train project team members on document management processes and systems.
• Conduct regular audits to ensure compliance with document management standards.
• Provide support for document management systems and collaboration tools.
• Assist project teams in locating and using approved templates and procedures.

Document Management Support

• Support the configuration, maintenance, and governance of project document management systems.
• Maintain document numbering, metadata, access permissions, and document classification structures.
• Contribute to document management and information management work plans.
• Ensure compliance with confidentiality, intellectual property, and information security requirements.
• Assist with project archiving, information handover, and closeout activities.
• Support onboarding and training initiatives related to document management processes and systems.

Qualifications & Experience

Essential

• Advanced proficiency in Microsoft Word, Excel, PowerPoint, and Visio.
• Experience with PDF editing tools.
• Strong SharePoint knowledge.
• Previous experience working with document management systems.
• Experience supporting consulting, engineering, construction, EPCM, or project-based environments.
• Excellent verbal and written communication skills.
• Strong organizational and multitasking abilities.
• Attention to detail and commitment to quality.
• Ability to work independently with minimal supervision.
• Strong problem-solving and stakeholder engagement skills.
• Comfortable delivering training in both individual and group settings.

Preferred

• Experience in document management within an engineering or EPCM environment.
