POSITION OVERVIEW

We are seeking a well-presented, professional, and highly organised Junior Receptionist/Administrator to join our dynamic team under the Y.E.S Programme. This opportunity is ideal for a motivated individual looking to gain valuable experience in office administration and front-desk operations within the gaming and casino technology industry.

PRIMARY PURPOSE OF THE JOB

• To provide reception services on behalf of the company.
• To provide administrative support on behalf of the company.

Duties & Responsibilities

DUTIES AND RESPONSIBILITIES

• Supervision and control of the telephone system and its functions.
• Front-of-house maintenance of the reception and showroom areas.
• Office services.
• Meeting and event assistance.

DETAILED DESCRIPTION

Supervision and Control of the Telephone System and Functions

• Answer incoming telephone calls, transfer calls, take messages, and relay messages via email to the relevant staff members.
• Report faulty telephone lines and equipment to the service provider.
• Review and update staff and client contact details on a regular basis.

Front-of-House – Reception and Showroom

• Greet and welcome visitors to the office and inform the relevant staff member of their arrival.
• Monitor and ensure that the reception and showroom areas are maintained in a professional state of readiness, projecting a positive business image.
• Receive and sign for deliveries before informing the relevant staff members of their arrival.
• Ensure collections are packed and ready for clients with the relevant documentation.

Office Services

• Ensure office supplies (stationery and kitchen supplies) are maintained, including ordering new supplies and monitoring stock levels.
• General administrative duties.
• Maintain a professional and presentable appearance at all times.
• General filing of supplier invoices.
• Prepare tea and coffee for staff and visitors when required.

Meeting and Event Assistance

• Assist with refreshments during meetings and company functions.
• Take and prepare meeting minutes when required.
• Assist with general housekeeping duties.

Desired Experience & Qualification

EDUCATION

Minimum

• Senior Certificate.

Preferred

• Tertiary qualification in Secretarial Studies or Office Administration.

TRAINING

(Additional on-the-job training will be provided.)

Minimum

• Working knowledge of Microsoft Office.
• Professional telephone etiquette.

Preferred

• Excellent attention to detail.
• Strong organisational and communication skills.
• First aid training.

Y.E.S PROGRAMME ELIGIBILITY

Applicants must meet the following minimum requirements

• Be a South African citizen.
• Be between the ages of 18 and 34 years.
• Be currently unemployed.
• Have not previously participated in the Y.E.S (Youth Employment Service) Programme.

LEGAL

(Criminal background and credit checks will be conducted prior to employment.)

Minimum

• Police Clearance.
• ITC Clearance.

Advantageous

• Valid driver's licence.

PHYSICAL REQUIREMENTS

• Good state of health and fitness.
• Well-groomed, presentable, and maintain good personal hygiene.

EXPERIENCE

Preferred

• Reception – 2 years.
• General Administration – 1 year.
• Public Relations – 1 year.

SKILLS AND PERSONAL QUALITIES

• Excellent verbal and written communication skills in English.
• Excellent spelling and grammar.
• Good keyboard skills.
• Proficient in Microsoft Windows and Microsoft Office applications.
• Ability to prioritise work and multitask effectively.
• Strong attention to detail and accuracy.
• Good organisational skills.
• Ability to work independently as well as part of a team.
• Pleasant and friendly manner.
• Ability to work well under pressure and meet deadlines.
