Key Responsibilities

• Document Management: Organize, maintain, and safeguard both electronic and hard-copy project documents, including contracts, engineering drawings, technical reports, and correspondence.
• System Implementation: Establish and enforce standardized document numbering and identification systems to ensure rapid retrieval and seamless tracking.
• Quality Control: Process all incoming and outgoing document submissions, conducting rigorous quality checks to ensure compliance with project standards.
• Distribution & Flow: Facilitate the smooth and timely distribution of documents to relevant stakeholders, clients, and project teams.
• Tracking & Database Maintenance: Accurately maintain master document registers (MDRs) and tracking databases.
• Archiving & Audits: Archive historical project files according to company retention policies and assist with periodic document audits and compliance reviews.
• Project Governance: Take accurate, professional minutes of meetings and distribute them timeously.
• Office & Project Admin: Provide general, high-level project and office administrative support as required to keep operations running efficiently.

Requirements & Qualifications

• Education: Matric / Grade 12 or equivalent qualification.
• Specialized Training: Further certification or training in Document Control, Administration, or Information Management is highly advantageous.
• Industry Experience: 5 to 10+ years of proven experience in a document control or administrative role specifically within the EPCM / Mining / Engineering industry.
• Prior experience with tier-one EPCM companies (e.g., DRA, Worley, Hatch, Wood, RSV, METC, SGS, etc.) is strongly preferred.
• Technical Skills: High proficiency in Microsoft Office Suite (Word, Excel, Outlook) and dedicated Document Control / Document Management Software (EDMS).
• Professional Persona: Well-presented and well-spoken with exceptional written and verbal communication skills.

Work Structure & Benefits

Hybrid Work Flexibility: This position is based at our offices in Weltevredenpark, Johannesburg for three days a week. We offer a hybrid model allowing employees the option to work from home every Tuesday and Thursday.
