Our clients trust us to help them build, protect and transfer wealth with confidence. Behind every adviser is a highly organised operations function that ensures every client instruction, investment transaction and administrative process is delivered accurately, efficiently and compliantly.

We're looking for a Senior Client & Operations Administrator to take ownership of our client services and operational administration function.

This is an opportunity for someone who enjoys improving processes, building efficient systems and delivering exceptional client service within a professional wealth management environment.

Key Responsibilities

Client Services & Wealth Administration

• Manage the end-to-end administration and implementation of financial planning and investment solutions.
• Process new business, investment instructions, switches, withdrawals, transfers and client servicing requests across multiple investment platforms (LISPs) and product providers.
• Liaise with investment platforms, asset managers, insurers and product providers to ensure efficient turnaround of client instructions.
• Coordinate client onboarding, documentation and account administration.
• Maintain accurate client records, documentation and CRM data.
• Ensure all client administration complies with FICA, FAIS and POPIA requirements.
• Prepare and maintain audit-ready client files and supporting documentation.

Operations & Process Management

• Take ownership of operational workflows across the practice.
• Develop, document and improve Standard Operating Procedures (SOPs).
• Identify opportunities to improve efficiency, reduce manual administration and streamline operational processes.
• Implement workflow tracking, quality control measures and operational checklists.
• Coordinate projects relating to systems, operational improvements and business processes.
• Support collaboration between advisers, paraplanners and administration teams.

CRM, Systems & Technology

• Maintain and optimise the firm's Zoho CRM and operational systems.
• Ensure data integrity across all client and operational records.
• Improve reporting, workflow automation and system integrations.
• Identify opportunities to leverage AI-enabled workflows to improve productivity and service delivery.

Compliance & Risk

• Ensure operational processes align with FAIS, FICA, POPIA and internal governance requirements.
• Support compliance monitoring and operational risk controls.
• Maintain accurate compliance records and operational documentation.
• Assist with audit preparation and regulatory reporting requirements where required.

Qualifications & Experience

• Proven experience within wealth management, financial planning, investment administration or financial services operations.
• Strong experience administering investments through South African LISP platforms and product providers.
• Experience implementing investment, retirement, fiduciary and financial planning solutions.
• Sound understanding of FICA, FAIS and POPIA.
• Experience with CRM systems, preferably Zoho CRM.
• Strong process management, workflow improvement and operational administration experience.
• Excellent communication, organisational and stakeholder management skills.
• High proficiency in Microsoft Office, particularly Excel.

Working Arrangement

• Permanent, full-time position.
• Based in Wynberg, Cape Town.
• Hybrid working (2–3 days in the office).
• Flexible working hours focused on outcomes rather than time at a desk.
