Director of Operations and Client Services

At Grace Estates Adult Day Center, we are seeking a compassionate, highly-skilled, and reliable personal care assistant to serve as part of our growing Adult Day Program . In this role, you will work with our clients helping them with basic personal hygiene according to their requirements and limitations.

You will provide compassionate care and assistance and document clients progress to help ensure their overall wellbeing.

Duties and Responsibilities

Planning and facilitating daily, weekly, and monthly events to encourage socialization, relaxation, and recreation. To include Trips out of the facility such as bowling, museums, parks etc.

Implementing activities that accommodate those standing and or walker/ wheelchair bound.

Handling logistics to make the event possible, such as making phone calls, advertising, managing inventory and budgets, training and motivating volunteers or employees, and coordinating transportation.

Observing participants at events, gauge their enjoyment and obtain their feedback to improve events. Everyone doesn’t have to participate but every effort must be made to engage the uninterested. Must have the ability to persuade.

Keeping records regarding event planning resources, participant interest, and other notable information, such as injuries or behavioral incidents.

Reporting medical concerns or observations.

Ensuring that events are well-provisioned, the event staff is trained and prepared, and that the event takes place on time and within budget.

Adhering to and enforcing all safety procedures.

Provide direct client care

May be utilized as interim Executive Director in the event of his or her absence

Assist Executive Director with any ancillary responsibilities to make the day run smoothly.

Facility Maintenance and Safety

○ Monitor and maintain the physical plant and vehicles, ensuring they are in good working condition.

○ Conduct weekly safety and systems checks, documenting any concerns.

○ Prepare repair estimates and submit them to the director for approval.

○ Create and monitor the weekly cleaning schedule to ensure the facility remains clean and hygienic.

○ Perform fire drills and document them according to policy requirements.

○ Conduct monthly audits of emergency policies to ensure compliance.

Transportation and Scheduling

○ Establish and monitor the transportation schedule to meet participants’ needs.

○ Assist with transporting participants to appointments, advocating for them, and obtaining necessary documentation.

Participant Care and Engagement

○ Provide assistance with personal care tasks, ensuring participants’ comfort and dignity.

○ Follow person-centered plans and behavior plans as written for each participant.

○ Foster a safe and healthy environment that upholds the rights of all participants and minimizes harm.

○ Assist participants during meals, considering dietary needs, food specifications, and documentation requirements.

○ Provide support for participants doing their laundry and complete facility laundry as needed.

○ Engage clients throughout the day, offering opportunities for them to meet their personal goals and remain active.

Administrative Duties

○ Monitor food safety, disposing of expired items, and restocking as needed.

○ Collaborate with the Program Director on weekly supply monitoring and replenishment.

○ Assist with new hire paperwork and onboarding processes in collaboration with the director.

○ Routinely print, file, and organize monthly documentation.
