Compensation
$40,000 base annually, depending on agreed schedule and responsibilities. 10% target bonus tied to company performance (up to 25% and no lower than 5%). $10-15,000 in additional tip revenue (estimated, per year) earned if working solo or with an owner
Role Summary
The Salaried Operations & Event Coordinator is responsible for helping manage the day-to-day operations of DonutNV events, staffing, customer communication, trailer readiness, inventory, and local sales support. This role is designed for someone who is dependable, organized, customer-focused, and willing to take ownership of making sure events run smoothly from booking through completion.
This position requires a mix of field work, event support, administrative follow-up, and operational coordination. The ideal person is comfortable working independently, communicating professionally with customers and staff, helping solve problems in real time, and representing DonutNV in a positive and professional way.
Key Responsibilities - Event Operations
- Help prepare for scheduled events, including reviewing event details, timing, location, expected attendance, menu needs, and staffing requirements.
- Assist with trailer setup, breakdown, cleaning, restocking, and event execution.
- Work events as needed, including customer service, order taking, donut and lemonade service, and general support.
- Make sure each event is executed professionally, on time, and according to DonutNV standards.
- Communicate any event issues, customer concerns, equipment problems, or staffing concerns to ownership promptly.
- Help ensure the trailer is clean, stocked, organized, and ready for upcoming events.
Scheduling & Staff Support
- Help coordinate event schedules and staffing needs.
- Communicate schedules clearly with team members.
- Assist with onboarding, training, and coaching part-time event staff.
- Help ensure staff arrive on time, follow checklists, maintain cleanliness, and provide great customer service.
- Fill in at events when needed due to call-offs, staffing gaps, or high-volume events.
Customer Communication
- Communicate professionally with event contacts before, during, and after events.
- Confirm event details such as arrival time, setup location, expected attendance, payment method, and special instructions.
- Help follow up with schools, businesses, neighborhoods, and past customers for repeat bookings.
- Assist with fundraiser communication, including giveback details and post-event follow-up.
Sales & Booking Support
- Help generate and follow up on leads for schools, daycares, HOAs, corporate events, community events, sports leagues, and private parties.
- Maintain organized notes on leads, follow-ups, booked events, and potential opportunities.
- Help identify repeat booking opportunities from past events.
- Support outreach efforts by email, phone, text, or in-person visits when appropriate.
Inventory, Supplies & Equipment
- Monitor inventory levels for donuts, lemonade, coffee, toppings, cups, napkins, cleaning supplies, propane, fuel, and other operating supplies.
- Help place or coordinate supply runs as needed.
- Report equipment issues, maintenance needs, trailer concerns, or vehicle concerns right away.
- Help prevent waste by tracking product usage and event needs.
Administrative Support
- Help keep event information organized and accurate.
- Assist with basic reporting after events, including sales notes, customer feedback, staffing notes, and operational issues.
- Help track fundraiser givebacks and customer follow-up needs.
- Follow company checklists and help improve systems as the business grows.
Expectations
- Be dependable, punctual, and communicative.
- Take ownership of assigned responsibilities without needing constant reminders.
- Represent DonutNV professionally with customers, schools, businesses, and staff.
- Be willing to work evenings and weekends based on the event schedule.
- Keep the trailer, supplies, and work areas clean and organized.
- Maintain a positive attitude, especially during busy or stressful events.
- Follow food safety, sanitation, cash handling, and company procedures.
- Communicate problems early instead of waiting until they become bigger issues.
Qualifications
- Prior food service, event, customer service, retail, management, or operations experience preferred.
- Strong communication and organization skills.
- Ability to work independently and make good decisions in the field.
- Comfortable using a phone, calendar, email, text, POS system, and basic business apps.
- Ability to stand for extended periods and work in outdoor event environments.
- Ability to lift and move supplies as needed, generally up to 40–50 lbs.
- Valid driver’s license preferred.
- Food handler or food manager certification preferred, or willingness to obtain if required.
Schedule
This is a salaried role based on an expected average of approximately 35 hours per week. Actual weekly hours may vary depending on the event calendar, seasonality, staffing needs, and business demand. Some evenings and weekends are required.
Compensation
Compensation will be paid as a biweekly salary, including legally earned tips. The salary is intended to cover the agreed regular schedule and responsibilities for the role. Any bonuses, mileage, fuel reimbursement, or additional incentives must be approved separately in writing. Medical, vision, and dental insurance stipend provided. Take-home vehicle optional. 15 days of PTO per year (approval required)
